Your role at MOBE

The Executive Assistant/Office Manager will be responsible for providing administrative support to four members on the Leadership Team at MOBE. This position will also be accountable for facilities support for our office in Minneapolis, MN.

MOBE is a fast-paced, mission-driven and service-oriented company. This position requires a driven individual who can exercise good judgement, take initiative and provide a high level of customer service. He/she must be tech savvy and solutions- oriented. In addition, he/she demonstrates integrity, shares our team values, has a great work ethic and a history of being a high achiever who desires accountability.

Executive Assistant Responsibilities:

  • Maintain and coordinate calendar/schedule for four executive staff members.
  • Plan and schedule meetings, appointments and travel schedules on behalf of the leadership team
  • Assist in the planning and executing of company events and meetings
  • Develops agendas, templates, power points, presentations and various supporting documents for leadership meetings
  • Create and maintain spreadsheets, expense reports, dashboards and presentations
  • Maintain secure files as required

Office Manager Responsibilities:

  • Meet and greet visitors
  • Provide excellence in customer support to team members, vendors and associates
  • Manage mail and delivery services
  • Order and organize office supplies
  • Maintains kitchen/break space/conference rooms; some simple cleaning and stocking
  • Help with building maintenance, upkeep, space planning, and workplace design
  • Other duties as assigned or required
 
Position Requirements

Qualifications

Required:

  • 5-7 years of Executive Assistant/Office management ideal
  • Human Resources, human healthcare, digital or corporate experience preferred
  • Strong grasp of Microsoft Office 360
  • Experience managing board meetings, travel plans, Zoom and Microsoft Teams coordination
  • Excellent communication skills; verbal, written and interpersonal
  • Successful track record managing logistics for a growing team
  • Able to successfully work in a fast-paced organization with changing priorities and deadlines
  • Strong teamwork and collaboration skills
  • Bachelor’s degree or relevant experience required
