GENERAL DESCRIPTION:
The Project Coordinator provides administrative project support to the Director of Early Learning and the Manager of Professional Development.

MAJOR RESPONSIBILITIES:
1. Manages the training registration and CEU process using Go Sign Me Up, including technical assistance to providers.
2. Schedules and confirms appointments, meetings and conference calls as requested.
3. Arranges for meeting rooms or facilities as well as any needed materials and meals, if required.
4. Prints and organizes materials for management and Early Learning Specialists as needed.
5. Coordinates travel arrangements and completes travel vouchers for conferences (hotels, travel, etc.).
6. Coordinates orders and purchases.
7. Places, receives, and unpack orders, either placing them in storage or making
them available for pick-up by the Early Learning Specialists.
8. Organizes provider training/classroom materials in the designated storage area.
9. Collects content from Early Learning Specialists for reports and combines for publishing.
10. Assists in responding to requests for proposals as needed.
11. Independently completes special projects (e.g., researching history or expenditures for information, reports, or presentations).
12. Produces and formats accurate and timely reports, graphs, and charts (e.g., organization charts and timelines).
13. Keeps abreast of CoachJax! activities and the work of the Director and Manager.
14. Assists the Chief of Programs and Administration, the Director and Manager in performing duties necessary to maintain the success of ECS.
15. Other duties as assigned.

• This position reports to the Manager of Professional Development.

 
Position Requirements

EDUCATION AND EXPERIENCE:
• Associates degree preferred with 1-3 years related administrative experience

SKILLS, KNOWLEDGE AND ABILITIES:
• Excellent people skills and ability to work well with a broad range of people
• Ability to build and establish collaborative relationships
• Ability to multi-task and prioritize assignments independently
• Ability to work with the public in a tactful and professional manner
• Ability to exercise good judgment and emotional maturity
• Ability to be detail-oriented and flexible
• Knowledge of Microsoft Office products at an intermediate level
• Ability to communicate effectively both orally and in writing
• Ability to maintain confidential information
• Ability to plan and organize work as well as maintain records and prepare reports
• Ability to multi-task, prioritize and work in fast-paced environment
• Ability to work independently with minimal direct supervision

CERTIFICATIONS:
• Valid driver’s license
• Complete 15 hours of in-service/professional development training hours each fiscal year
(July-June)

ENVIRONMENTAL CONDITIONS:
• Works in an office environment
• Working remotely for at least part of the work week may be considered
• Local travel to multiple sites may be required

ESSENTIAL PHYSICAL SKILLS:
• Regularly required to sit; occasionally required to stand, walk and stoop, kneel, crouch or
crawl.
• Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to
25 pounds.
• Acceptable eyesight (with or without correction)
• Acceptable hearing (with or without correction)
• Ability to communicate both orally and in writing

In addition, ECS recently became the new Head Start/Early Head Start grantee in Marion, Dixie, Gilchrist, Lake, Levy, and Citrus counties and the Early Head Start grantee in Gainesville.
