Family Service Assistant-CCRR

Primary responsibilities: To assist Family Service Specialists in providing child care information and referrals to parents.


  1. Answer incoming telephone calls in a relaxed manner and communicate sensitively and responsively to the needs and concerns of others
  2. Check and record messages periodically on a daily basis and help ensure that all calls are returned within 8 business hours.
  3. Provide child care information to all parents regardless of income level.
  4. Offer child care choices free of bias and preference for any specific type of child care; center based, home setting, church program, public or private, etc.
  5. Receive, distribute and send mail daily.
  6. File received paperwork in client files as needed.
  7. Submit supply orders as needed ensuring that the office maintains needed materials.
  8. Help maintain CCMS/EFS database so that client files are accurate and current.
  9. Help maintain the Unified Wait List and Simplified Point of Entry.
  10. Help send eligibility re-determination notices to clients and providers on a monthly basis.
  11. Provide assistance to both families and providers utilizing the kiosk
  12. Provide assistance to clients requesting transfers to new providers
  13. Provide necessary statistical information when requested.
  14. Maintain confidentiality in regards to information accessed in the performance of job duties.
  15. Be knowledgeable of all required forms regarding School Readiness, Head Start and Pre-kindergarten for parents and provide assistance to parents and providers.
  16. Responsible for implementing the coalition’s anti-fraud plan daily activities related to prevention, detection, investigation, and reporting of possible overpayment resulting from potential fraud or abuse.
  17. Responsible for cleaning of the office and maintaining necessary cleaning supplies in order to keep the office tidy.

  • This position reports to the Family Services Coordinator.
Position Requirements


  • Experience in an office environment answering phones, filing paperwork, using software programs and providing customer service.
  • 1-3 years related work experience preferred.

(A comparable amount of training, education or experience can be substituted for minimum qualifications.)


  • Excellent telephone, computer, and clerical skills.
  • Knowledge of the overall function, responsibilities, and services rendered by the Resource and Referral Program.
  • Ability to effectively provide information in a positive, informative and patient manner.
  • Ability to demonstrate empathy toward needs of parents.
  • Ability to establish priorities, schedule work loads and use other resources to complete goals or tasks.
  • Bilingual language skills at a level that will allow the specialist to assist non-English speaking service users are preferred.


  • Valid driver’s license




  • Works inside in an office environment
  • Some travel may be required


  • Acceptable eyesight (with or without correction)
  • Acceptable hearing (with or without correction)
  • Ability to communicate both orally and in writing
  • Ability to lift up to 50 lbs.
  • Ability to access file cabinets for filing and retrieval of data
  • Ability to sit at a desk and view a display screen for extended periods of time
