Description

The Office Manager has the responsibility for the supervision and smooth operations of front desk reception, calls and confirmations and medical records. Working in a collaborative environment, the Office Manager is a member of the clinic’s management team, encouraged to provide insight and guidance to facilitate patient access to care, best use of schedules and the efficient processing of incoming and outgoing medical records. The Office Manager interacts with a combination of patient and staff to improve and enhance operations, resolve problems and address concerns.  Strong computer skills, excellent interpersonal communication and prior supervisory experience is a must. Experience in a health care setting preferred. Wage dependent on experience.

 
Position Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepares front desk area for business and delegates to front desk staff their duties for the day.

  • Performs front desk reception and medical records’ duties when necessary.

  • Has knowledge of various grants and other funding sources available to qualified patients.

  • Reviews encounters received from Billing for missing information; coordinates with the billing department to obtain current patient contact information.

  • Helps patients and other staff with filling out a variety of paperwork.

  • Maintains and enters money into postage meter.

  • Works with providers to optimize patient care and provider productivity.

  • Answers patient inquiries concerning services or payment;discusses past due account collections with patients; handles immediate patient problems taking place at the front desk or in the waiting rooms; screens and informs appropriate staff of patient complaints.

  • Answers phones promptly; records and routes messages.Assures that after-hours phone procedures (answering service, answering machines) are in place.

  • Backs-up computer.Runs reports as requested by providers and administrative staff.Troubleshoots and reports computer and/or phone problems to Billing Supervisor and/or IT Coordinator.

  • Maintains building security; reports problems to appropriate staff.

  • Collects time cards from all medical and dental staff and sends to payroll.

  • Conducts regular meetings of front desk and medical records personnel for information gathering, inservice, and problem solving.

  • Reviews resumes, participates in interviews, and recommends for new hire new reception and medical records staff in conjunction with Administration.

  • Attends Operations, Quality Assurance, Site Management, and other required meeting.

  • Maintains current procedure manuals and knowledge of programs and policies.Ensures that all front desk and medical records staff maintains familiarity with procedure manuals.

  • Coordinates scheduling of front desk and medical records staff for optimum coverage.

  • Oversees mail distribution, both inter-office and external mail received.

  • Works with various contractors and schedules meetings and/or presentations.

  • Works with transcriptionists and their supervisor.

  • Cross-trains staff in reception and medical record duties in order to always have a functioning staff level available in both departments.

  • Adherence to the ODCHC attendance policy.

  • Other duties and responsibilities as designated by supervisor.

QUALIFICATIONS:

  • Excellent interpersonal skills, written and verbal.Ability to establish constructive working relationships with all levels of employees in a staff of varied and diverse backgrounds.

  • Ability to work as a member of a team in order to solicit input from other affected departments or individuals, communicate pertinent information to other team members, and support team decisions.

  • Ability to supervise others and delegate effectively.

  • Ability to handle difficult or confrontational situations in a calm, consistent, and equitable manner.

  • Ability to read and interpret documents, and writes memos and routine reports.

  • Ability to calculate figures and amounts needed to take and receive patient payments.

  • Computer skills, including facility with databases, spreadsheets, and word processing software.

EDUCATION and/or EXPERIENCE:

  • High school diploma or GED.

  • One-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

  • One to two years experience as a supervisor in a medical or business setting.

SUPERVISORY RESPONSIBILITIES:

  • Front Desk staff.

  • Medical Records staff.

  • Responsible for training, evaluating, and initiating disciplinary action for all employees supervised.

PHYSICAL REQUIREMENTS:

  • Speaking and hearing sufficient to communicate effectively by phone or in person, at normal volumes.

  • Vision adequate to read correspondence, computer screen, and forms.

  • Good manual dexterity.

  • Ability to sit or stand for extended periods of time.
