Success Measures is a leading evaluation resource organization that operates as a social enterprise within NeighborWorks America to provide a range of evaluation services and products to nonprofit organizations, funders, intermediaries and public agencies in the housing, community development, financial capability and health fields, broadly defined. Position Summary:

The Success Measures Manager, Program Services plans, coordinates and implements the administrative and business management systems necessary to operate the Success Measures social enterprise as a consulting practice, software vendor and technical assistance/training provider. In this role, the Manager, Program Services supports a fourteen-member team of professionals who work collaboratively to support client organizations on a fee-for-service basis and through a range of foundation and corporate partners. Success Measures is a grant funded program.

Essential Responsibilities:

 

  • Develops and implements a wide range of administrative procedures, systems and technology applications necessary to meet the complex needs of the Success Measures program.
  • Manages projects from inception to completion, monitors and tracks progress to ensure complete and accurate work products within established deadlines.
  • Assists in planning and prioritizing the work activities of Success Measures team and maintains communication with the VP regarding the timing and coordination of activities.
  • Manages the registration and contracting processes for Success Measures training and technical assistance courses and SMDS subscription sales.
  • Develops and manages the Success Measures administrative budget; processes purchases, vouchers and monitors expenditures to ensure compliance with the guidelines of multiple contracts to ensure accurate tracking. Familiarity with use and reconciliation of company purchase card a plus.
  • Maintains billing and payment schedules and processes for contracts, agreements, amendments and SMDS Subscription renewals. Prepares invoices, monitors receivables and resolves payment issues with vendors and clients. Monitors historical spending patterns.
  • Develops and maintains systems to manage the relationships and ensure fulfillment of contractual obligations to key clients and partners working with Success Measures; maintains master reporting schedule for Success Measures grants and contracts.
  • Manages and updates Success Measures contact and operational databases to ensure accurate client, prospect, funder, consultant, resource and related listings for use in business, invoicing and program activities
  • Manages the production of training and marketing materials, often in support of multiple concurrent events and activities.
  • Researches and prepares Success Measures registration tracking reports, donor incentive program reports and other customized reports.
  • Serves as a liaison to external consultants by developing requests for proposals, developing task orders, tracking of deliverables, and ensuring completion of contractor evaluations.
  • Arranges logistics and conducts contract negotiations for meeting/training/events space including food & beverage, audiovisual and overnight accommodations.
  • Responds to inquiries and communications from interested parties, including potential customers, sponsors and funders of SMDS, providing them with information and/or referring them to the appropriate member of the team for specialized follow up.
  • Provides administrative, project management and research assistance for special projects and programmatic initiatives for Success Measures.
  • Performs office management tasks for the unit, including maintenance of electronic and hard copy files including maintenance of official grant and contract files for Success Measures.

Position Requirements

Required Minimum Qualifications:
(a) Education: Bachelor’s degree, a minimum of 7 years highly responsible administrative or project management experience or any equivalent combination of education

(b) Competencies, Knowledge, Skills & Abilities:

  • Demonstrated project management skills, including planning, monitoring and completing complex projects.
  • Excellent organizational skills demonstrated across a range of administrative processes and procedures.
  • High-level ability to use computers and significant experience with software for presentations, publishing, graphics, the Internet, Web design, spreadsheets and word processing applications.
  • Ability to monitor and manage budgets and to prepare various budgetary reports.
  • Ability to plan meetings, arrange logistics and conduct contract negotiations.
  • Advanced proficiency in the use of Microsoft Office Suite and thorough knowledge of modern office administrative practices, procedures and equipment. Aptitude for technology and ability to trouble-shoot technical problems a plus. Knowledge of and/or proficiency in the use of Salesforce a plus.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and manage multiple work activities in a fast-paced team environment and consistently meet deadlines.
  • High level of accuracy and attention to detail in finished work.
  • Excellent customer service skills required.
  • Ability to clarify assignments and expectations and work independently.
  • Ability to establish and maintain effective working relationships with others and successfully interact with people at all levels within and outside the organization as well as people of diverse socio-economic backgrounds.
  • Experience in producing foundation and marketing proposals preferred.
  • Ability to travel, including occasional overnight absences from the employee’s place of residence.
  • Maintain regular and timely attendance.
