Job Summary:

The Office Administrator/Receptionist is responsible for the smooth and efficient operation of the Anchorage office.This includes facility and logistical support and assures the effective functioning of the facility to provide an efficient and safe working environment for employees and activities. Additionally, this position is the first line of communication between the Corporation, the general public, and Shareholders in the Anchorage area.


Essential Functions include, but are not limited to: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position.)

  • Responsible for the overall administration of the office.

  • Ensure front desk coverage during business hours including greeting guests in a professional and appropriate manner, answering all incoming calls and referring them to appropriate staff and delivering messages to staff.

  • Provide occasional administrative support to the leadership team on assigned projects and tasks.

  • Facilitate incoming and outgoing mail, faxes and packages to appropriate staff including express shipments, certified mail log, courier deliveries and special service shipments.

  • Oversee the maintenance and repair of facilities and equipment; collaborate with property manager and contractors as necessary.

  • Plan and manage facility services and service contracts such as access, security, cleaning, courier, water, plant maintenance, recycle and waste disposal.

  • Provide information and assist in the preparation of the facilities portion of the annual operating plan.

  • Conduct daily walk through of the facility to ensure a professional, clean, organized and efficient office environment. Responsible for cleaning and organization of common areas within the office suite during the day and/or between meetings.

  • In coordination with risk and safety personnel, maintain the Emergency Response Plan and assist in the training of staff on emergency procedures.

  • Serve as purchasing agent for the Anchorage office and maintain appropriate inventory levels of all office and facilities supplies.

  • Assist in the planning and logistics for staff and corporate events.

  • Maintain log of all incoming checks and cash receipts.

  • Maintain master contacts list and various event mailing lists.

  • Assist with maintenance of corporate filing system.

  • Develop and maintain standard procedures, policies and manuals related to office administration.

  • Responsible for correspondence, reports, manuals, spreadsheets and other business documents.

  • Maintain form documents and templates.

  • Able to become a Notary Public.

  • Prepare coffee and hot water each day including in preparation of any meetings or events taking place in the offices.

  • All other duties as assigned.

Position Requirements

Knowledge, Skills & Ability:
• 3 - 5 years of progressively responsible administrative experience.
• Associates degree or higher or equivalent experience preferred.
• Must be able to manage multiple projects and deadlines with no decrease in productivity.
• Strong computer skills with a high proficiency with the Microsoft Office Suite, Microsoft SharePoint, and Adobe products.
• Excellent interpersonal skills; must be able to work independently and interact effectively with all levels of the organization.
• Excellent oral and written communications skills.
• High ethical standards and the ability to maintain confidential information.
• Excellent organization skills and detail oriented.
• Culturally sensitive and able to relate and interact with all Shareholders.
• Ability to maintain a valid Driver's License.
• Ability to work in excess of 40 hour week if necessary
• Must have manual dexterity to operate computer keyboard and standard office equipment.
• Dependable attendance for a standard 8am – 5pm work day (with one hour lunch break).

Office Location and Travel:
This position is located in Anchorage, AK.
Occasional travel to other local and out of state business sites, conferences and meetings may be required.

Working Environment & Conditions
This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The work load may require the incumbent to sit for extended periods of time. The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
