Job Title: Document Control Administrator Reports to: Quality Manager

Position summary: Processes and controls the company’s Quality Management System documentation and helps ensure compliance to company, regulatory, legal, customer, and 3rd party certification (GFSI) standards. Uses Ohio Pack’s ERP system (IFS) to log, manage, edit, organize, approve, and distribute all documents including but not limited to SOPs, work instructions, specifications, drawings, forms, and personnel training documentation. Works with personnel from all departments to ensure departmental documentation is properly formatted, edited, and in line with the QMS requirements.

 

 

 
Position Requirements

Qualifications required:

  • Applicable work experience in similar role
  • Minimum of two years in Quality Assurance/Control
  • Strong knowledge of Good Manufacturing Practices
  • Ability to identify problems and initiate corrective actions and preventative actions
  • Quality-oriented - Attention to detail - Organized and thorough
  • Good communication skills, both written and verbal
  • Experience with performing internal audits and assisting with external audits.
  • Willingness to be a team player
  • Proficient in MS Outlook, Power Point, Word, Excel, and Visio
  • Experience with ERP or MRP systems a plus
  • Experience in food manufacturing or food packaging a plus
  • Experience in film and or converting a plus
  • Some travel is necessary

Essential functions and responsibilities:

  • Uses and masters Ohio Pack’s ERP system’s document management module to log, manage, edit, revise, organize, approve, and distribute all documents including but not limited to SOPs, work instructions, specifications, drawings, forms, and personnel training documentation.
  • Works with personnel from all departments to ensure departmental documentation is properly formatted, edited, and in line with the QMS and ISO/FSSC standards and requirements.
  • Oversee maintenance of records to QMS, ISO/FSSC and other applicable standards.
  • Provide guidance and support to the Quality Manager and identify and address any documentation or record keeping issues or needs
  • Perform data entry tasks, the majority being training records while increasing knowledge in electronic database system
  • Help train auditors and conduct internal audits (SOPs, manufacturing, facility)
  • Maintain current industry and ISO/FSSC knowledge of document management principles
  • Lead by example and constantly support manufacturing/technical staff by actively and helping with troubleshooting, root cause analysis, training/guidance, and containment activities as warranted
  • Assist in third party audits, record findings, and monitor corrective and preventive actions
  • Assist in handling customer complaints and customer returns, tracking corrective actions to completion
  • Assist in the upkeep of the food safety/HACCP program
  • Assists with maintaining SDS, Chemical Control, and Pest Control records
  • Must follow all company policies and procedures
  • Maintain product safety, legality, regulatory compliance, and quality systems
  • Report any potential food safety, quality of food defense concerns to the Plant Manager or Quality Manager
  • Follow, lead, and as required train personnel in Good Manufacturing Practices (GMPs) and HACCP Programs
  • Participate in various continuous improvement activities
  • Responsible for the safety and security of products

  • Supports efforts to achieve and maintain GFSI certification including all related documentation initiatives, ensuring there are no major non-conformances for documentation or records control
  • Through documentation requirements and records management, generation, and control, ensures traceability system is effective and able to achieve 100% accuracy
  • Understands and continuously works to identify and address out-of-spec GMP or standard operating procedures (SOP’s) as compared with existing work instructions and policy
  • Completes all required paperwork and IFS/database entries each shift while following work instructions faithfully without taking shortcuts
  • Performs all daily duties in a safe manner, is professional, and reports to work on scheduled days, on time

 

  • Physical demands and work environment:

  • Physical demands: While performing the duties of this job, the employee is required to walk, use hands to finger, handle, or feel objects, tools, or controls: reach with hands and arms; balance; stoop; talk or hear. Employee must be able to lift and/or move up to 50 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
  • Work environment: While performing the duties of this job the employee is/or may be exposed to high noise levels that require hearing protection. Employee may also be required to wear safety glasses and/or safety gloves

 

Performance standards:

  • Annual performance appraisal.
