About the Organization CP Rochester and Happiness House are private nonprofit health, educational, residential and human service organizations that have been serving communities in the Finger Lakes Region since 1969 and the Greater Rochester Area since 1946. Today with sites in Rochester, Canandaigua, Geneva, Gorham, Midlakes and Waterloo, our agencies offer an array of educational, therapeutic, recreational, residential and family support programs and services for children and adults with and without disabilities. On average, our agencies serve 3,650 families each year and employ approximately 600 people.


Our staff consists of dedicated and knowledgeable professionals and clinicians with expertise in the areas of Special Education, Early Childhood Education, Physical, Occupational, Speech and Music Therapies, Psychology, Service Coordination, Nursing, Dental Services, and Developmental Disabilities.

Description

Part Time position in Victor/Rochester - 20 hours per week, Monday through Friday (evening and weekend work may be required as job duties demand)

Summary/Objective:

  • Supports the mission and vision of Ability Partners Foundation (APF), CP Rochester, Happiness House, and Rochester Rehabilitation in the areas of fundraising, database management, and administrative support.  Main focus of position is in direct support of the VP of APF/Development and Associate Director of APF.
  • Responsibilities for APF include donor database management and administrative/clerical support particularly with fundraising events that include Gala (2), Bowl-a-thon, Autism Walk, Golf Tournament, 5K Run for Fun/1M Walk for Wellness, WalkAbout, and various other community events.

 

Required Education and Experience:

  1. Must have a High School Diploma. Associate degree preferred.
  2. One to three years of experience in administrative/clerical, preferably in the not-for-profit industry.
  3. Proficient in the use of Microsoft Office software (Word, Excel, PowerPoint, Outlook) and database applications.
  4. Demonstrated ability to work independently and as a team.
  5. Ability and willingness to work flexible hours including early mornings, evenings and weekend days.

 

Responsibilities include, but are not limited to:

  1. Maintains confidentiality of information relating to individuals and their families in accordance with agency policy.
  2. Provides administrative support to the VP of APF/Development and Associate Director of APF.
  3. Clerical duties include check requests and purchase orders, invoices, inventory, mailings, copy room oversight, supply ordering, etc.
  4. Assists the Associate Director of APF with the execution of all APF fundraising events with oversight from the VP of APF/ Development.
  5. Assists in the coordination of in-kind, vendor, team follow-up calls, invoices, promoting increased understanding and awareness of all three organizations programs and services through the development of positive relationships with businesses, community groups, individuals and funding sources.
  6. Assists APF as necessary to ensure event information is up-to-date and disseminated in a timely manner (i.e. campaign appeals, program booklets, website, social media content as well as revising event flyers, forms, letters, etc.).
  7. Coordinates mailing of signature fundraising and non-fundraising events, assists with sponsorship solicitation (pre and post follow up), outreach to new donors/sponsors both monetary and in-kind.
  8. Develops full knowledge of donation tracking software for all three agencies.
  9. Accurately and effectively manages all donor databases including adding/editing donor accounts information; entering checks, cash, and gifts-in-kind; tracking fundraising appeals; and generating reports.
  10. Updates and maintains mailing lists; produces mailer and mailing labels.
  11. Some additional responsibilities include office organization, copier oversight, etc.
 
Position Requirements
  1. High school diploma or GED. An Associate’s degree is preferred.
  2. Previous successful experience in administrative/clerical work preferred.
  3. Knowledge of office management, office machines, phone systems and proficiency in typing.
  4. Proficient in the use of Microsoft Office software (Word, Excel, PowerPoint).
  5. Ability to comply with professional standards of conduct, including pleasant speaking voice and courteous manner as well as the type of personality able to meet the demands of the position.
  6. Demonstrated ability to effectively communicate orally and in writing.
  7. Demonstrated excellent time management skills and organization skills.
  8. Demonstrated ability to analyze and problem solve.
  9. Demonstrated commitment to performing job duties and tasks at a high level of performance with great attention to detail.
