Description

Position Summary:

The Community Living Administrative Coordinator provides coordination support for the Director and department. In addition to typing, filing and scheduling, performs duties such as record keeping, coordination of meetings, obtaining supplies, coordinating mailings and working on special projects. The position maintains highly confidential and sensitive information and interacts with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. This position is required to plan, prioritize and organize diversified workload, and recommend changes in office practices and procedures to ensure efficiency and effective communication, within and between departments.

Position Duties & Responsibilities:

In a manner consistent with supporting The Arc NCR Mission Statement the Community Living Administrative Coordinator shall do the following:

Quality Support

  • Maintains timely, accurate and complete department information systems/databases and records as assigned, producing reports as scheduled or requested.
  • Maintains current compiled listing of all houses, supported individuals within the houses and the staff for each house to be distributed to the department and any applicable personnel within the agency on a regular basis.
  • Creates and revises systems and procedures by analyzing operating practices and recordkeeping systems, and implementing changes.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Collects weekly paperwork from all Community Living homes to include but not limited to menus, IP data, BP data, vehicle logs, attendance, fire drills, etc.
  • Serves as the central point of contact for the Service Coordinators of the individuals in Community Living when it comes to IP meetings, interim meetings, emergency meetings, 30-day meetings, etc.
  • Sends medical information and approved outcomes, goals and strategies to Service Coordinators.
  • Enters all individuals new to receiving Community Living Services and all IP data into the program database and generates outcome reports and data collection sheets.
  • Monitors and records clients’ progress to ensure that goals and objectives are met.
  • Ensures IP books in the main building and the houses are current and meet organizational expectations.
  • Schedules and coordinates the attendance of all necessary parties for all meetings for individuals to include but not be limited to: annual individual planning meetings, emergency meetings, interim meetings for individuals receiving services from the Community Living program.

 

Quality Team Members

  • Assists the Director of Community Living with the following:
  • Attending and documenting of department meetings
  • Assists in ensuring program records are in compliance and meet all state and federal regulatory standards
  • Coordinating of program meetings, social gatherings and training when necessary

 

  • Provides effective day-to-day operational supports to the director and supervisors as needed or requested.
  • Provides information by answering questions and requests.

Financial Excellence

  • Collects Community Living attendance weekly from all homes in the program. Inputs attendance into PCIS2 or the appropriate DDA database monthly.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Completes special projects as requested and assigned by supervisor.

Completes other duties as assigned.
