What You Will Be Doing
The administrative coordinator position is responsible for overall office activities, including the reception area, mail, conference room scheduling conflicts, and supply orders for the Liberty Center building. Also responsible for the performance of some general clerical activities for other Boundless departments (Finance, HR, BBH, etc.).

Salary: $15 per hour

Primary Job Responsibilities

  • Coordinates the reception area and uses professional telephone communications both internally and externally to maintain a positive image for Boundless.
  • Coordinates administrative support for special meetings and office functions.
  • Serves as the Communication Ambassador with marketing.
  • Maintain the confidentiality of individuals served.
  • Ensures that all guests sign-in/out compliant and are treated respectfully. Contacts staff for Boundless to inform them of any guests in a timely fashion.
  • Receives, sorts, and distributes mail to Boundless staff persons.
  • Monitors office supply levels and informs Boundless staff persons if orders may be necessary. Assists with negotiation and purchase of office supplies for Boundless in accordance with their company purchasing policies and budgetary restrictions.
  • Supervises the maintenance of office equipment, including copier, fax machine, etc. Informs IT of any problems as they occur.
  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, submitting maintenance requests, etc.)
  • Participates as needed in special department projects.
  • Coordinates outpatient behavioral clinic regarding co-pays, HIPAA compliant check-in, scheduling.
  • Complete month-end close procedures in a timely and accurate manner. Review, code and process invoices, receipts, and vouchers. Point of contact for third party vendors.
  • Responsible for providing accurate reporting information of petty cash accounts, including depositing funds, reconciling and reporting.
  • Finding innovative ways to streamline the AR process to be more efficient.
  • Participates in administrative staff meetings.
  • Maintain regional organization charts, employee and client directory.
  • Assist HR Management with various special projects including onboarding of new employees.
  • Prepare payroll tasks.
  • Prepares new hire files for employees and participants.
 
Position Requirements

Required Education and Experience

  • High school diploma or equivalent.
  • At least two years of previous experience in office management or administrative coordination.
  • At least two years of phone or reception experience.
  • Working knowledge of mail processes such as postage machine, FedEx and UPS.

Preferred Education and Experience

  • Bachelor’s degree.
  • Experience working with people with developmental disabilities.
