Description

Position Summary:

The Human Resources Assistant will support the Human Resources department and the mission of the agency by creating effective and financially fiscal schedules and assisting with the training coordination and onboarding of new and current team members.

Position Duties & Responsibilities:

In a manner consistent with supporting The Arc NCR Mission Statement the Human Resources Assistant shall do the following:

Quality Support

  • Assist the Training and Development Coordinator with the following duties:
    • Schedules all CMT training classes for new hires and recertification's
    • Communicate all changes in the nurse schedules from the delegated nursing service provider
    • Assists employees with initial and recertification applications with MBON
    • Creates all new hire binders and prepares for monthly orientations
    • Managing LMS system, printing certificates and updating training completion with in the HRIS system
    • Sends Notification of Medication Errors and Practical's needed to be completed.

Quality Team Members

  • Assist the Agency Talent Acquisition Manager in the following duties:
    • Ordering background and drug tests
    • Administering employment assessments
    • Processing all post hire paperwork and online registration (E-verify, LEIE, status changes etc.)
    • Deliver all tax form information post orientation to the payroll processor
    • Assisting in the set up and preparation of all open house/job fairs (room set-up, interview guide copies, and food ordered)
    • Prepare all offer letters and job description sign-offs (both new hire and internal transfers)

Financial Excellence

  • Creates, publishes, and assists in the management of the Advanced Scheduling (Workforce Management) system
  • Ensures all department/location rules are up to date in the system prior to schedule generation, including but not limited to Service Funding/ratio and training requirements
  • Ensures all employee rules are up to date in the system prior to schedule generation, including but not limited to availabilities, core schedules, and trainings
  • Ensures all published schedules are within budget and meet all ratio requirements through gaining approvals from Directors, COO and CFO.
  • Works with all Supervisors to ensure all shifts are covered and provides feedback to training and staffing needs
  • Assists supervisors post publishing with call outs and separations
  • Trains all new hires on Advanced Scheduler functions
