Chief of Staff - Roundhouse Group, Inc.

Roundhouse, a rapidly growing developer of diverse real estate projects, is seeking a dynamic individual to fill the position of Chief of Staff. Founded in 2008, we have operations in five states with 3,000 multi-family units and over $650,000,000 of assets under management. We are seeking an experienced professional to provide executive support to the CEO & COO. The Chief of Staff serves as the primary point of contact for internal and external constituencies on all matters pertaining to Chief Executive Office. The Chief of Staff serves as the liaison to senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Chief of Staff will have the ability to work independently on projects, from conception to completion, and must be able to handle confidential matters with discretion.

Job Responsibilities

Executive Support

  • Completes a broad variety of administrative tasks for the CEO & COO including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential
  • Arranges complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Provides a bridge for smooth communication between the CEO, COO and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "gatekeeper," having a sense for the issues taking place in the environment and prioritizing commitments of the CEO
  • Manages administration & record keeping of CEOs personal investments including Private Equity, Venture Capital, and Real Estate
  • Administers personal insurance policies, vehicles, residences, and household staff

Office Administration

  • Oversees office operations and develops, implements and administers companywide office systems and procedures.
  • Maintain personnel records, employee handbook, and assists in the creation and administration of various HR policies
  • Provides training and mentorship opportunities for corporate staff
  • Oversees corporate Dropbox filing system including establishing rules and procedures for use
  • Works closely with CEO & COO to develop and administer best-in-class benefits programs including 401K, Healthcare, Paid Time Off, Continuing Education
  • Develop training and communications strategy around company mission and values - oversees external and internal promotion of values

Strategic Initiatives

  • Assists in the coordination of corporate event planning, political fundraisers, staff off-sites, and other special events
  • Assists in corporate branding, marketing, and social media initiatives
  • Analyzes/supports personal and corporate philanthropic, community outreach, and civic engagement opportunities
  • Follows up on contacts made by the CEO & COO and supports the cultivation of ongoing relationships

Position Requirements

Job Qualifications

  • BA/BS required
  • Strong work tenure: 5 to 10 years of corporate operational experience or role supporting C-Level Executives
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Expert level written and verbal communication skills
  • Excellent interpersonal skills, emotional maturity, and ability to build relationships
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media platforms
  • Comfort working in a dynamic entrepreneurial environment with an interest in building systems from the ground-up
