Executive Assistant to the COO 

Description

The Executive Assistant to the Chief Operating Officer is a highly resourceful forward thinker experienced in providing superb administrative support for high-level executives. You are highly motivated, collaborative, extremely efficient, polished, and customer service oriented. You have the ability to exercise solid and independent judgement in a variety of situations. This position requires a flexible schedule that involves some evening and occasional weekend hours. Knowledge of the film industry is a plus.

Responsibilities:

  • Manage the COO's calendar, interacting with internal and external constituents in order to coordinate a variety of executive meetings.
  • Facilitate project status updates with the COO and her direct reports. Track project assignments, progress, and deadlines on behalf of the office of the COO.
  • Anticipate and proactively manage ad-hoc projects/tasks for the COO as needed.
  • Understand strategic business initiatives.
  • Prepare and review correspondence, reports and other documents, and maintain detailed and organized files.
  • Maintain database of external contacts; manage heavy phones.
  • Coordinate and facilitate communication for the COO.
  • Coordinate travel arrangements and generate itineraries.
  • Review, reconcile and process department invoices for payment.
  • Assist with special events and projects as assigned.
 
Position Requirements
  • Bachelor’s degree preferred.
  • 3+ years of experience assisting high-level executives in the entertainment industry.
  • Strong project management skills including tracking and follow up.
  • Strong computer skills including advanced knowledge of MS Office is essential. Experience with Airtable is preferred.
  • Ability to exercise solid and independent judgement in a variety of situations.
  • Excellent communication skills, both written and verbal, are critical.
  • Ability to exercise high judgment and maintain composure in fast-paced, high-stress situations.
  • Meticulous attention to detail and accuracy is key to success.
  • High degree of discretion and confidentiality.
  • Must be exceedingly well organized, proactive, resourceful, and efficient with a high level of professionalism when interacting with staff, members, and the public.
  • Ability to multitask in a fast-paced environment, sometimes under pressure, with the flexibility to adapt to changes in schedules and deadlines.
