The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

The Event Production Assistant Manager will provide leadership and support to the Sales/Events Department related to operational logistics, vendor/client relations, and on-site event management. Reporting to the Manager of Event Production, you will help produce major internal events in addition to serving as the liaison for client events.

You Will:

  • Coordinate and support logistics of complex, multifaceted events (including the museum’s opening events)
  • Draft detailed production schedules and other important documentation; prepare or source layouts or seating charts as needed; update procedural (“SOP”) documents, technical decks, and emergency response documentation
  • Help conduct client site inspections of event spaces as needed (staying well-informed on space capacities, recommended layouts, and technical capabilities); review contracts and communicate with sales team to ensure all goods/services are delivered per client contract
  • Be the on-site venue manager as scheduled, including scheduled technical rehearsals; load in/ out; oversee production staff
  • Submit and manage orders for rentals, AV, and other vendors as needed; coordinate parking with contracted garages and valet companies; help keep vendor list updated
  • Collaborate with catering, facilities, technical, and security teams to provide exceptional service for guests
  • Assist with budgets, invoicing, check requests, and account reconciliation
 
Position Requirements

You Have:

  • 3+ years prior experience in events or hospitality; supervising experience a plus
  • Fun working with clients and demonstrate friendliness, enthusiasm and a customer-centric approach
  • Proficiency in Excel for budgeting, creating timelines and scheduling
  • Knowledge of Salesforce or similar CRM software preferred
  • Familiarity with layout, seating, and guest registration software
  • Availability to work evenings, weekends, and holidays

Physical Requirements:

  • Standing, walking, stair climbing, forward bend or squatting, moderate lifting, and sitting
  • Long stretches at a computer, doing paperwork and answering phones
