Pay Rate $14.00-$18.00/hr.  
Description

SUMMARY
Responsible for providing administrative support to the Director of Logistics and Purchasing and Division Chief while assisting in maintaining the Logistics office in accordance with departmental rules and regulations to ensure the office functions in support of the South Bend Police Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES
This list represents the types of duties required by the position. Other duties may be assigned as reasonably expected.
• Takes weekly inventory audits of inventory.
• Creates and maintains inventory tracking spreadsheets to be shared with Director of Logistics and Division Chief.
• Orders and maintains adequate inventory of office supplies essential for department operations.
• Checks Records daily for any incoming shipments of supplies and place in storeroom or distribute where needed.
• Maintains Fastenal Vending stock.
• Tracks and distributes equipment, uniform accessories and other items to officers under the direction of Logistics Director and Division Chief.
• Assists with scheduling and handling of uniform fittings and distribution.
• Assists sworn officers and civilian personnel with questions, concerns, equipment issues, and supplies related to logistics and services and/or directs them to proper person/office.
• Serves as backup when Administrative Assistant to the Chief of Police is unavailable.
• Assists and serves as backup to AP/AR person in their absence.
• Assists officers with body camera, remote or other Utility related issues.
• Serves as administrative support to Division Chief and Director of Logistics.
• Assists accounts payable specialist, Director of Logistics and Purchasing, and Support Division Chief as needed.
• Organizes and maintains storeroom and assists with organization of secured storage (cage).
• Requests RMAs and prepares and sends outgoing shipments as needed using FedEx, UPS, USPS and others.
• Creates and maintains an electronic shared file for all purchase orders currently in filing cabinets.
NON-ESSENTIAL/MARGINAL FUNCTIONS:
• Greets employees/officers/visitors coming into the Logistics Division and answers phone calls.
• Performs other duties and assumes other responsibilities as apparent or as delegated.

Position Requirements

EDUCATION AND/OR EXPERIENCE:
• High School diploma or equivalent education required, some college coursework preferred.

KNOWLEDGE, SKILLS AND ABILITIES PREFERRED
• High level of judgement and decision-making abilities are expected
• Computer operations including Microsoft Excel and Office Suite and general office practices and procedures
• Detail oriented and high level of organization
• Ability to communicate with supervisors, peers or subordinates providing information by phone, radio, in written form, e-mail or in person.
• Strong typing skills
• Strong organizational skills
• Ability to read and interpret a variety of documents and instructions
• Strong spelling, grammar and writing skills
• Basic math skills
• Strong customer service skills

CERTIFICATES, LICENSES, REGISTRATIONS
• Valid driver’s license or ability to obtain one

EQUIPMENT:
Computer (Multiple software applications), Scanning equipment, Fax machine, Copier, Phones.

While performing the duties of this job, the employee is frequently required to sit and walk, and talk or hear. The employee must occasionally lift and/or move up to 50 pounds. The employee must be able to stoop or crouch accessing records in file cabinets. Specific abilities required in this job include good vision and the ability to adjust focus.

WORK ENVIRONMENT:
Work is performed mostly in office settings, with moderate inside temperatures. The noise level in the work environment is usually quiet to moderate in the office. Entire office is smoke free.
