SUPERVISION RECEIVED: Works under the direction of the Director of Reeves Library; or in the absence of the director, the assistant director.

 

SUPERVISION EXERCISED: Supervises student employees as appropriate.

 

POSITION SUMMARY: The Assistant to the Library Director maintains and assists in planning the library's operating budget; provides administrative support as the library's contact person within the library and on and off-campus; is responsible for the word processing and distribution of library correspondence; and assists the director, and other staff as appropriate in a variety of administrative details. The individual is also cross-trained on all technical assistant duties.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  1. Support of the library director includes schedule meetings and events, take notes and minutes, draft correspondence, purchase requisitions.

  2. Assembles information and assists Library Director with budget development. Compile monthly, quarterly and year-end status reports from all funding sources. Processes all invoices, travel reimbursements, and purchase orders.

  3. Prepare library hours for the academic year in consultation with librarians and library director.

  4. Handle all details of faculty scholarship day, including but not limited to, tracking submissions, word processing, bibliography in citation format, exhibit set-up, and catering orders.

  5. Assists with planning and carrying out library events – reserving event spaces and placing work orders for facilities, technology, and catering needs. Develops expertise on how ongoing library events are handled. Produces library signage as requested.

  6. Prepare and edit (using word or excel programs) library publications and correspondence; maintains electronic file of standard correspondence; independently prepares standard correspondence, such as thank you letters to donors for director's signature.

  7. Monitors supply inventory; orders all supplies and minor equipment; may work with IT to order major equipment; works with director and facilities to order furniture.

  8. Serve as liaison between the director, staff, students, other offices on campus and the public; serve as referral person for incoming calls and inquiries

  9. May receive and process information of a confidential nature; ensures information is kept in strict confidentiality.

  10. Provide fill-in coverage at circulation desks, as needed. Checks out materials, assists library patrons with various needs, answers telephone and onsite requests. May sort and shelves returned materials, pulls requests and other miscellaneous tasks.

  11. Provide fill-in coverage for interlibrary loan.

  12. File and maintain library administrative office files and records.

  13. Report and monitor work order requests for the library facility and assist in identifying issues that should be addressed, e.g., broken chairs, leaks, stains, and spills.

  14. Assist Moravian employees with offices in the building with details, including but not limited to securing keys, phone service, computer service, mail, etc.

  15. May assist technical services librarians in routine tasks.

  16. Perform other duties as may be assigned by the director, assistant director or their designee.

 

QUALIFICATIONS: A high school diploma and a minimum of three years related office experience and relevant library experience is required. The position demands excellent organizational skills as well as superior interpersonal skills (verbal and written), and an ability and desire to work closely with all constituencies of the College and Seminary including students, staff and faculty, in addition to the general public. Computer literacy as well as experience with Microsoft Office, particularly database applications, word processing and spreadsheets is essential. Experience with technical processing of library materials, understanding of library operations in an electronic environment, attention to detail and ability to maintain a high level of accuracy is needed. Must have the ability to multitask.

 

Preferred: Bachelor's degree; previous work in library and/or academic institution.
