SUPERVISION RECEIVED: Supervised by the Assistant Vice President for Student Life and Dean for Career and Civic Engagement with direction from the Director of Career Development and Director of Civic Engagement.
SUPERVISION EXERCISED: Supervises student employees as appropriate.
POSITION SUMMARY: Provides administrative, technical and clerical assistance and support for administrators in the Center for Career and Civic Engagement.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Support administrators as requested and perform associated clerical tasks including management of spreadsheets, databases, and e-mailings; facilitate reports as requested and maintain departmental files and records, and coordinate all room reservations and associated multimedia needs for programs and meetings.

Perform general receptionist duties (e.g., scheduling appointments, receiving students and community partners, answering phones, arranging meetings and maintaining calendars) for all professionals in the Center.

Order supplies for the Center, process vouchers, maintain copier records and handle duplicating.

Supervise student workers including handling daily tasks, scheduling hours, coordinating coverage of special events and completing timesheets.

Track and monitor budget records, transfer funds as needs, rectify purchasing cards for department staff.

Update departmental websites, AMOS pages, and other online presence on a regular basis.

Assist the Assistant Director of Career Development in managing and updating all social media accounts for the Center, including but not limited to Twitter, Instagram, and Facebook, creating a timeline for posts for advertising events, recruiting students, and sharing news.

Assist with project management for events and programs from start to finish including sending invitation communications, tracking registrations, coordinating event logistics, recording event attendance post-event, etc.

Create marketing for the Center's events and programs using Canva and Adobe Spark.

Manage tracking of student appointments, event attendance, employer approvals and other projects in Handshake.

Assist in the logistics of programs coordinated by the Center for Career and Civic Engagement including scheduling of student staff/volunteers, food service arrangements, room reservations, etc.

Perform other tasks as required.
QUALIFICATIONS: High School Diploma, 3-5 years of secretarial experience and an ability to handle multiple demands. Excellent interpersonal and organizational skills are needed as well as an ability and desire to work closely with all constituencies of the institution, including students, staff and faculty, alumni, community partners, employers and the general public. Requires a team player who can multitask and work under firm deadlines while maintaining confidentiality. Strong computer/technical skills and aptitude essential. Prior experience in higher education a plus.
