Sacred Heart Cathedral Preparatory (SHC) is a Lasallian Vincentian Catholic, co-educational college preparatory secondary school located in the heart of San Francisco, California. We provide academically rigorous, vibrant learning grounded in social justice and student centered pedagogy. Our entire community is committed to cultivating each student's unique talents and passions, providing myriad opportunities for students to discern and realize their individual intellectual, artistic, athletic, social, and spiritual potential. SHC is a San Francisco Archdiocesan High School that is cosponsored by the De La Salle Christian Brothers, District of San Francisco New Orleans and the Daughters of Charity of St. Vincent de Paul, Province of St. Elizabeth Ann Seton.

Mission Statement:

We prepare our high school students to become service-oriented leaders with a commitment to living the Gospel.

Position Summary:

Provides administrative support for SHC’s Assistant Principal for Academics, managing student information records and reports, including academic achievement, class enrollment, and health and demographic records.

Essential Responsibilities and Duties:

  • Models for students the characteristics of a Lasallian/Vincentian educator;

  • Supports SHC’s mission, philosophy and integral student outcomes;

  • Provides the highest quality of record keeping services, ensuring the confidentiality, accuracy and timeliness of information:

    • Maintains records in student information system (PowerSchool) including enrollment, demographic data, grades, GPAs, standardized test scores, and academic status;

    • Maintains accurate, official student records and permanent files in both digital and physical formats, including grades, attendance, health records, test scores, and transcripts from other institutions used to fulfill SHC graduation requirements;

  • Facilitates effective flow of data within the school through collaboration with administration, faculty and other support personnel, including the Director of Studies, the SHC Counseling and Advising Department, and the school’s database manager;

  • Maintains professional and reliable communication with the students, faculty, staff, parents and the general public;

    • Serves as official liaison for reporting all academic information to outside agencies such as colleges and universities, federal and state governmental agencies, the Daughters of Charity Foundation, the Lasallian Education Corporation, the archdiocese, the unified school district, scholarship organizations, etc.

    • Generates report cards and other reports for internal and external agencies as needed;

  • In collaboration with the Principal and staff, prepares and oversees materials and schedules related to graduation and end of year ceremonies;

  • Archives student records after students graduate and oversees permanent archiving of entire school transcript record;

Position Requirements

Qualifications & Skills:

  • Proficient with Microsoft Office 365 (especially Word and Excel), Google Suite/Gmail, PowerSchool

  • Highly organized; able to prioritize and problem-solve

  • Service-oriented with strong communication skills, both written and verbal

  • Capable of maintaining strict confidentiality

  • Able to work independently and collaboratively, in a dynamic and fast-paced environment

Certifications and/or Licensure

None

Education and/or Experience:

  • Administrative support experience;

  • Experience in a registrar’s office or other school support setting with knowledge of PowerSchool or comparable student information system;

  • High School Diploma, Bachelor’s Degree in Business Administration or an equivalent combination of education and experience in administrative support

Computer Skills:

To perform this job successfully, an individual must be proficient in Microsoft software applications, Google Suite/Gmail and internet usage, and; database management. Must be proficient with PowerSchool and related software programs.
