Summary

The IT Administrative Coordinator is responsible for receiving requests for assistance from users, performing an initial analysis, and routing to the correct team. As well as creating and tracking purchase orders while maintaining asset tracking on all purchases.

Essential duties and responsibilities

  • Accepts requests for assistance or problem reports from users.
  • Obtains necessary information form users to adequately describe the request or problem report,
  • Directly respond to the request or problem if within own areas of expertise,
  • Direct the request or problem reports that were solved personally and close report in ticketing system,
  • Direct the request or problem to the most appropriate support area (e.g., specialist, support organization),
  • Liaison with user to ensure that requests or problem reports have been satisfactorily handled,
  • Update ticket and supporting documentation to reflect any changes identified while routing tickets,
  • Document and maintain the processes and procedures required to an Asset Management program,
  • Create purchase requisitions for IT assets and services, update management, project leads, and tracking systems with progress of purchases and work orders,
  • Maintain hardware and software contracts from interaction to termination.
  • Works with vendors to obtain quotes a11d order hardware and software,
  • Work with IT staff through the asset life cycle to ensure proper licensing, allocation, utilization, and compliance.
  • Maintain vendor software licensing portals and ensure accuracy of reporting,
  • Work with management on software license audits and provide audit support as required,
  • Assist in documentation of standards and methods,
  • Meet the attendance guidelines of the position and adhere to departmental and company policies,
  • Must complete all required Astronics training programs within a set time frame,
  • This position may require knowledge of SOX / 404 internal audit controls and related documentation,
  • Other duties as assigned.

Education and Experience

High School Diploma or GED

Minimum of 3 years of experience using MS Outlook, Word, Excel, PowerPoint, etc.

Customer service and project management experience preferred

Work Authorization/Security Clearance

Due to federal contract obligations, must be a US Citizen or Permanent Resident

SUPERVISORY RESPONSIBILITIES

Does not have any supervisory responsibilities but may serve as a coach and mentor for other positions within the organization.

TRAVEL EXPECTATIONS

Ability and willingness for 10% business travel to divisional locations nationwide and international.

Language Skills

Able to read, write and comprehend English instructions, correspondence, memos and specifications. Must be able to effectively communicate and lead a team of people when needed. Must possess a professional demeanor, excellent interpersonal, multi-tasking, organizational, time management, and both written and oral communication skills.

Communication/Leadership Skills

Must be able to effectively communicate instructions to team(s) and individually to reach a common goal. Must be able to be responsible role model for all employees in the company. Must be willing to be a leader in the area(s)/department(s) and also work in a team environment with peers and provide excellent customer service to both external and internal customers.

Mathematical Skills

Able to add, subtract, multiply and divide in all units of measurement, common fractions and decimals.

Technical Skills

Competently use Microsoft products, have knowledge of ticketing systems, and general computer skills. Ideal candidate will have both the ability and desire to learn new technologies and increase technical skills set.

Reasoning Ability

Able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Possess the ability to identify problems, deal with them, and work towards a solution. May require changes to your schedule to complete projects and tasks.

Physical Demands *

While performing the duties of this job the employee is occasionally required to stand, walk, sit, use hands to pull handles and push buttons. Requirements may also include climbing, balancing, stooping, kneeling, crouching or crawling. The employee must occasionally lift and or move up to 50 pounds. Specific vision abilities required by this job include close vision and distance vision.
