Executive Administrative Assistant

About the Organization The Museum of Life and Science is one of North Carolina's top family destinations, located less than five miles from downtown Durham. Situated on 84-acres, our interactive science park includes a two-story science center, one of the largest butterfly conservatories on the East Coast and beautifully landscaped outdoor exhibits which are safe havens for rescued black bears, lemurs, and endangered red wolves. Other popular attractions include over 60 species of live animals, Dinosaur Trail, Ellerbe Creek Railway, and Hideaway Woods.   • Provide time-sensitive support to the President/CEO as needed
  • Coordinate activities for and act as a highly-responsive liaison for Board of Directors, including uploading documents to Board webpage, coordinating timely mailing of monthly board packets, meeting locations and refreshments, transcription of minutes, supporting Executive, Development, Finance and Governance Committee's and Strategy Team meetings and emailing/mailing of letters/memos from Board chairman and committee chairs as needed
  • Coordinate and act as meeting planner to facilitate activities for Museum leadership such as attendance of conferences, travel, and correspondence
  • Coordinate communication, contacts, and collateral material for Museum's governmental relations efforts
  • Manage Museum postal services and accounts, including receiving and processing all incoming and outgoing mail and assisting staff with Federal Express shipments as needed.
  • Process all checks that come via the mail and ensure they are handed off securely to the proper individuals.
  • Manage purchasing of office supplies and maintenance of office equipment.
Position Requirements


  • Associate degree or equivalent
  • 3-5 years of experience in executive assistance
  • Demonstrated professionalism, with the ability to work with high level board/government officials
  • Proven office management skills
  • Excellent oral and written skills and attention to detail
  • Standard office software experience, including spreadsheet, word-processing and document processing software (Microsoft Office, Adobe, etc.)
  • Demonstrated ability to work independently
  • Ability to maintain a high degree of confidentiality
  • Able to manage several projects at once as well as multi-phase projects
  • Ability to work occasional evenings and weekends


  • BA/BS or advanced degree
  • Non-profit experience and/or Board of Directors interactions
  • Interest in science and science education
