Our Team:

The Customer Service Representative II is responsible for all aspects of customer service relative to all contract manufacturing, private label, brands and international accounts. Duties include responding to customer inquiries, entering orders, processing complaints and overseeing day to day customer activities. The Customer Service Representative II works closely with business partnering customers and with their management team to discuss goals and deliverables, and develop and maintain productive business relationships. Furthermore, this position responds to day to day customer needs in conjunction with the Customer Service Operations team.

What you will be doing:

  • Communicate effectively and work closely with customers to ensure 100% customer satisfaction. This includes order processing, providing shipping information, assisting in development of labels, taking complaints and forwarding them to QC, issuing Return authorizations and requests for Credits, providing proper documentation for registration of products, following processes for changes in existing products, as well as others responsibilities.
  • Communicate and work with other departments and immediate team members in order to ensure that specific customer needs and requests are being met.
  • Coordinate with other departments to ensure orders are completed by the requested date.
  • Provides direct communication between customer and company.
  • Ensure that team members process all orders in a timely manner and communicate order acknowledgements to the customers within 24 hours, making sure that orders are entered accurately, with lead times and prices.
  • Maintain weekly open orders reports for sales department and respective accounts, outlining all open orders with any date changes.
  • Maintain open communication with manager, ensuring that all parties are informed of all open and pending issues.
  • Work closely with the Sales to ensure details of each customer are clearly understood
  • Manage various order processing functions (lead times, MOQ's, pricing
  • Monitor customer specific inventory to ensure levels are in sync with order requests
  • Generate reports and business reviews to update the brands and business units
  • Work with Planning to ensure customer expectations are communicated and met while monitoring the various stages of production and packaging
  • Work with Costing on new item set up and item changes as requested by the customer
  • Work with the Regulatory and Quality departments regarding customer required documentation requests
  • Communicate to freight forwarders as needed for pick up requests and export documentation
  • Submit requests for certificates of free sale, certificates of origin and GMP documents to FDA
  • Work closely with Accounting on debits, credits, statements and customer deductions
  • Process and monitor credit card payments
  • Maintains customer account information for Customer Service Operations in SAP and Sales Force
  • Work with Customer Service support staff on various order related issues
  • Ensure invoicing is processed for all customers
  • Perform other related duties in support of the office as assigned by management

What you bring to the team:

  • High School Diploma or equivalent
  • Minimum 2 years Customer Service experience in an office environment
  • Fluent in English; strong verbal and written skills
  • Computer proficient including Microsoft Office, particularly Excel and Word
  • Able to type 40 WPM, 8,000 KPH
  • Experience in order processing and familiarity with the sales and distribution module

Preferred Experience and Education:

  • Bilingual (Spanish/English)
  • Electronic Data Interchange (EDI) and/or SAP experience
