About the Organization The mission of Fenway Health is to enhance the wellbeing of the lesbian, gay, bisexual, and transgender (LGBTQIA+) community and all people in our neighborhoods and beyond through access to the highest quality health care, education, research, and advocacy. Fenway Health was founded in 1971 and has grown from a less than 10 person operation in the basement of a building near the Boston Fens to one of the largest LGBT-focused organizations in the world. It consists of three main centers:



• Fenway Community Health Center, our clinical arm, which is a federally qualified health center that operates three clinic sites (Fenway:1340, Fenway:South End, and the Sidney Borum, Jr. Health Center) in the Boston area and provides over 30,000 patients with primary and specialty medical care, behavioral health care, optometry care, and dental care;



• The Fenway Institute, our research/training/education/policy development arm, which houses numerous research initiatives as well as the National LGBT Education Project, the LGBT Aging Project, the National Center for Innovation in HIV Care, and the Center for Population Research in LGBT Health; and



• AIDS Action, our HIV/AIDS service organization, which provides nonclinical services (case management, housing and legal assistance, outreach, peer support) to people living with HIV/AIDS and operates numerous programs focusing on HIV/STD prevention/testing/treatment, including the Access (drug user health program), TransCEND (transgender peer support and risk reduction program), and Youth on Fire (drop-in center for homeless and street-involved youth) programs.

Description

Function:

Under the direction of the Human Resources Director, the Human Resources Associate helps maintain departmental paper and electronic files, and provides support to the department’s operational activities both at Fenway Health and AIDS Action Committee.

  1. Carries out recruitment efforts agency wide
  • Builds and maintains an active talent pipeline through creative sourcing to identify active and passive candidates
  • Works with hiring managers to create advertisements for job openings based off of positions’ job description
  • Loads all job openings into Fenway’s applicant tracking system and posts advertisements to outside sources, while tracking their effectiveness
  • Collects information on cost, deadlines, etc. for professional journals, newsletters and websites; recommends and utilizes appropriate, job-specific sources
  • Initiates all reference checks (electronically and via phone), and schedules interviews and prescreens candidates as requested
  • Provides assistance to hiring managers with the Applicant tracking System and annual reporting

  1. Processes all Human Resources’ purchase orders
  • Writes-up and processes all department purchase orders (POs)
  • Tracks and documents when employees are eligible for bounties, and submits POs for payment
  • Tracks when employees are eligible for anniversary recognitions, and orders clocks from our vender

  1. Assists with department orientation and trainings
  • Ensures all documents for HR orientation are current, and sends updated documents to the print shop so that they are prepared in time for monthly orientation
  • Reserves meeting rooms and provides related logistics; which may include notifying participants, ordering food and coordinating internal IT and Facilities staff as needed
  • Creates and maintains employee personnel and benefit files, and ensures all required documents are included in the files
  • Maintains our online training platform, and ensures all modules are up-to-date and the system is operating properly
  • Administers and monitors ALICE training for all new hires

  1. Assists with employee onboarding
  • Ensures that selected candidates are hired through the Applicant Tracking System, and migrates information into Ascentis HRIS (e.g. demographics, compensation, resume, years of experience, EEOC classification)
  • Ensures that all new employees have completed onboarding and been CORI screened
  • Documents all non-regular employees on the Staff List
  • Documents and tracks voluntary self-identification forms

  1. Provides monthly and annual reports
  • Sends out monthly exclusion list
  • Monitor CORI expiration dates and verifies that all staff have a current CORI report on file
  • Schedules 6 week check-ins for new employees and current employees hired into new positions

  1. Assists with benefits administration
    • Replenishes documents in the HR forms bar, and ensures that all documents are up-to-date
    • Orders and distributes passes for Fenway’s MBTA program
    • Sends out weekly wellness drawing email to ‘all-staff’
    • Schedules benefit venders to come onsite periodically throughout the year and to our annual benefits fair

  1. Meet agency participatory expectations
  • Adheres to all agency and departmental policies and procedures
  • Participates in quality assessment and improvement activities as requested
  • Adheres to the highest principles of patient and client confidentiality
  • Adheres to established safety policies, procedures and precautions; identifies potential or actual unsafe situations in the environment and takes measures to rectify the situation
  • Attends all required meetings, in-services and professional trainings
  • Maintains professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities
  • Serves on agency committees and in professional organizations when requested
  1. Perform related duties as assigned

Position Requirements

Education

Minimum of high school degree or equivalent;

**Graduating class of 2020 encouraged to apply**

Experience/Other Requirements

  • Working knowledge of Microsoft Outlook, Excel and Word
  • Proven ability to work within multiple online databases simultaneously
  • Experience working within a Human Resources department, or educational background in Human Resources
  • One year of office experience strongly preferred
  • Prior experience working with a Human Resources Information System (HRIS) platform strongly preferred
  • Ability to handle multiple tasks and prioritize assigned duties
  • Excellent communication skills and the ability to work independently
  • Experience working with an ethnically, culturally and racially diverse staff preferred
  • Ability to work harmoniously with diverse groups of individuals required
