Introduction

Cube Root Corporation was founded by Mr. Omar Stephenson in 2010. The company is a Small Business Administration (SBA) certified 8 (a) minority business enterprise providing engineering management services to a wide range of federal, District and non-federal organizations.

The Company is growing and has set ambitious plans to double its staff over the next two-years. The Company is looking for an individual to support the office administrative needs of the company. This person will support the administrative needs of the company, and manage the day-to-day operating needs of the Cube Root Office. In addition, this person will provide administrative support to the President/CEO on the company.

This individual will also serve as the Facility Security Office (FSO) for a large government contract. As the FSO, this person will be responsible for coordinating the security clearance application process for all members of our Department of State contract, and ensure that the team is in government compliance.

This person will have access to COMPANY CONFIDENTIAL AND PERSONAL CONFIDENTIAL information and, therefore, the ability to control such information is paramount.

Major Duties and Responsibilities

The responsibilities of the Executive Assistant position include:

  • Assists the Chief Executive Officer (CEO) and Founder with the overall efficient operation of the company especially the administrative workings of the company.
  • Acts as the “gatekeeper” for the CEO; answers phone calls, decides whether to connect the caller with the CEO or route to another executive manager; controls internal or external client access to the CEO.
  • Receives, reviews, tracks and routs, if appropriate, written and electronic correspondence (hereinafter referred to as “communications’) directly or through access to the CEO’s personal files.
  • Tracks communications response dates, prepares periodic reports of action items, and occasionally prepares draft correspondence for the CEO’s signature or, in the absence of the CEO or for routine communications, signs “by direction of the CEO.”.
  • Coordinates, sometimes alone or with other internal and external clients to research information or questions and, after review by the appropriate manager, responds directly to the client or, in the absence of the CEO or for routine communications, signs “by direction of the CEO.”
  • Coordinates the CEO’s schedule, arranges the CEO’s travel and accommodations and, in general, optimizes the CEO’s limited availability.
  • Assists in the preparation of periodic briefings to the CEO and the executive leadership team on a wide range of topics such as financial reports, project or program status, and such.
  • Drafts letters and other correspondence on behalf of the CEO.
  • Manage the day-to-day operating needs of the office, including answering of phones, greeting of visitors, ordering and managing of supplies inventory, checking and distributing of mail, coordinating with building management staff, etc.
  • Serve as primary interface to our outside provider of Information Technology support services. Schedule on-site visits by this outside provider, communicate service/support needs, etc.
  • Serve as primary interface to our outside provider of Human Resources & Payroll support services. Make entries in the online human resources portal, get answers to human resources questions from our outside provider, convey new hire information and coordinate with outside provider for onboarding of new employees, etc.
  • Support accounting activities, including data entries into Deltek Costpoint (our accounting system), confirming that all employee weekly timesheets are submitted and approved, support in preparing and submitting invoices, running of pre-programmed accounting reports, etc.
  • Support business development department, as necessary, including printing and binding of proposals, delivery of proposals and other materials, formatting of resumes and project pages, making phone calls to gather and/or confirm information, etc.
  • Coordinate the security clearance application process for staff on government contract.
  • Monitor compliance with facility clearance and security clearance requirements.
  • Participates in overall Company safety program.

     
    Position Requirements

    • Five years of progressively responsible experience in the field of office administration.
    • Previous experience as a Facility Security Officer.
    • Some college coursework leading to a bachelor’s degree.
    • Must be very organized.
    • Must be very assertive and driven.
    • Ability to communicate clearly; orally and in writing.
    • Ability to work collaboratively with a diverse staff.
    • High level of familiarity with and high-level working facility with Microsoft Office suite of products.
    • Have or ability to obtain OSHA 10-hour safety class certification within 60 days.
