CONTEXT FOR MINISTRY: The Ministerial Excellence, Support, and Authorization Ministry Team (MESA) serves as the touch point for ministers in the United Church of Christ throughout their ministry. MESA resources Members in Discernment, Local Church Ministers, those serving in Specialized Ministry, and all ministers during times of transition. MESA also resources Committees on Ministry and Conference staff regarding ministerial authorization, covenants of mutual accountability and Search and Call. GENERAL PURPOSE OF POSITION: The Program Assistant for MESA serves to keep the ministry team moving efficiently and effectively in its core purpose. The Program Assistant works under the direction of the MESA Team Leader, who coordinates with the MESA Team to manage work flow.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Participates in the development, implementation, and support of the overall program and mission of the Ministerial Excellence, Support & Authorization Ministry Team.
  • Serves as Program Assistant to the MESA Team, providing administrative support and assistance to the MESA Team Leader and program staff under the supervision of the Team Leader.
  • Maintain, update, and curate information about MESA’s online resources, coordinating with the OPTIC team when necessary.
  • Create and disseminate notes from monthly team meetings.
  • Process necessary financial and administrative paperwork and assist in reviewing and processing approved payments for all check requests and invoices.
  • Maintain and update the MESA calendar with staff travel, staff absences, building-wide meetings, Zoom meetings, and other relevant information.
  • Open, read, sort, refer and answer e-mail and other correspondence addressed to MESA staff as appropriate.
  • Answer and screen phone calls, relay messages, and respond to inquiries as necessary.
  • Participate in the ASN and UCCOSSN when time permits.
  • Maintain appropriate confidentiality with regard to all communications.
  • Promote the Team’s positive public image by responding in writing and orally on a timely basis to inquiries for information.
  • Contribute to the effectiveness of Justice and Local Church Ministries and the MESA ministry team by fostering a spirit of cooperation and accomplishing assigned tasks.
  • Other responsibilities as assigned.
 
Position Requirements

MINIMUM QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Successful applicants will be able to demonstrate the following knowledge, skills, and/or abilities:

  • A minimum of four years demonstrated office administration skills and project management experience including the ability to manage multiple projects simultaneously, some college coursework preferred
  • Understanding of the polity and structures of the United Church of Christ. Desire and sensitivity to work in a diverse racial, ethnic, cultural and religious setting with a commitment to diversity in the workplace as well as in one’s understanding of mission.
  • Demonstrated ability to work collaboratively and collegially as well as independently.
  • Demonstrated written and oral English language skills, including the ability to conceptualize and develop print resources; public speaking skills and knowledge of a second language when applicable.
  • Demonstrated technological competence and ease with adapting to new technology, including graphic design programs.
  • Ability to use Office 365, Adobe, Zoom, and other programs.
  • Must be a self-starter, able to prioritize work and to perform with minimum supervision.
  • Strong understanding of the need for confidentiality and discretion in human relations skills.
