We are seeking qualified, trained and capable individuals to serve as full time on-site Supervisor working at the US Coast Guard National Maritime Center in the Mariner Credentialing Program. The mission of the US Coast Guard National Maritime Center is to issue Merchant Mariner Medical Certificates to fully qualified U.S. merchant mariners. A key component of the Maritime Center is the Medical Division, staffed by physicians, physician assistants, certified medical assistants, and medical clerks who review and assess applications for Medical Certificates. Medical Assistants represent the interest of the Maritime Center and clients who apply for credentialing.

Mission

Review and process merchant mariner medical certificate applications; manage official merchant mariner medical records (electronic and paper based) and supplemental medical information; completing data entry related to the process; medical certificate creation; and supporting correspondence related to screening and processing of applications which includes photo copying, scanning and stuffing envelopes.

This Supervisor position is not for clinical medicine. There shall be no interaction with patients and no diagnosing or treatment of conditions. This work is considered to be occupational and administrative medicine. It shall substantially involve reviewing medical documentation and fitness for medical certification decision making based upon that information. The majority of the screening work shall be performed by reviewing medical mariner applicants' medical histories against the established maritime medical guidelines and standards. In addition, there is administrative work involved with processing and maintaining these records.

 
Position Requirements

Major responsibilities include (not all inclusive):

This position requires an individual to be able to multitask and prioritize work with minimal supervision. Individual must possess and utilize strong organizational skills with good follow through and attention to detail. This individual will be required to transition from one task to another while maintaining focus on specific core duties.

Responsible for all work performed under this contract.

Shall be a single point of contact for the Contracting Officer and the Contracting Officer’s Representative (COR).

Shall be on site and available for Medical Evaluation Division leadership (Contracting Officer’s Representative, Division Chief and Operations Chief) during the core hours of 0800 AM – 4:30 PM EST.

May recommend process improvements that will help to improve accuracy and cycle time resulting in improved customer service

Shall direct employee participation in the development, maintenance and administration of the application processes below:

Review medical records, both paper-based and electronic

Perform data entry/information management

Prepare paper file and/or digital file for the screening and/or evaluation process IAW NMC MMS documents using various electronic tools, including databases, spreadsheets, MMLD and other USCG standard business software record.

Make appropriate entries and assign files to screeners, evaluators, physicians and supervisors as required by the Government.

Sort, file and deliver mail generally consisting of supplemental applicant information, approximately 150 pieces of correspondence daily

Perform other administrative services required as part of the efforts described above (such as filing paper records, communicating with others, sending official correspondence, filing and other office administrative actions), including work that is typical in an office setting (copying, drafting, faxing, stapling, etc.)

Shall control business outcomes and requirements as they pertain to Contractor personnel.

Prepare Status Reports

Qualified Candidates must have:

Experience – Minimum of one year in a supervisory role in a healthcare environment.

Clearance - Must have a successful background National Agency Check with Inquiries (NACI) screening

Communications - Shall be able to read, write, speak and understand English
