Description
  • Responsible for scheduling the clinical staff of the Outpatient and Psych Services Departments to include but not limited to: outpatient clinicians, doctors, physician’s assistant and CRNP. Maintain schedules in the EMR based upon criteria established by the Directors of Outpatient and Psych Services. Ensuring that all scheduling from the daily staffing sheet is completed effectively. Scheduler will follow all scheduling processes as outlined in the Support Staff manual and will ensure that strict confidentiality is maintained while ensuring social responsibility.
  • Maintains a safe environment for both consumers and employees to include physical, moral, emotional and social responsibility, as well as a clean reception area by complying with Center policies and procedures.
  • Manage all cancellation notices by clients and adjust clinician schedules for outpatient and psych services departments in an effort to minimize effects of cancellations. Scheduler will follow all scheduling processes as outlined in the Support Staff manual.
  • Compile reports to include but not limited to: planner export report, no show report, Medicare flagged report, and Medicare double booked report. Will ensure that any discrepancies between the reports and staff schedules are resolved.
  • Maintains customer confidence and protects operations by keeping information strictly confidential, as well as completing processes in accordance with company policies and procedures.
  • Completion of the Dr. of the Day process at all locations. Ensuring that there is a Medicare doctor on sight, while Medicare consumers are being seen and that Doctor of the Day calendar is maintained monthly.
  • Coordination of activities in the reception and waiting areas of the Center including but not limited to: greeting clients, answering telephone within three rings, retrieval of messages from the answering machine, scheduling appointments, making consumer appointment reminder calls two days in advance, notifying staff of appointment arrivals, data entry, collecting and maintaining consumer registration and liability information in a timely manner, with the main focus on customer service utilizing emotional intelligence.
  • Maintaining Credible to do list and tickets assigned through the support staff ticketing system, completing tasks in a timely fashion or by assigned due date.
  • Adhere to seven recognized Sanctuary commitments which includes social responsibility, social learning, non-violence, open communication, democracy, emotional intelligence, growth and change.

 

 
Position Requirements
  • Computer skills
  • Able to utilize multi-line telephone system
  • Knowledge of office procedures and equipment
  • Able to maintain strict confidentiality
  • High School degree or GED as well as prior work experience with public
  • Excellent interpersonal and customer service skills
  • Act 33/34, FBI clearances and Act 31 certificate
