POSITION SUMMARY: BASIC FUNCTION

The Operations and Maintenance Coordinator is responsible for supporting the Critical Facilities Operations (CFOps) team by coordinating, tracking, implementing, and updating critical information concerning operations and maintenance to ensure the successful 7x24 operation of each site/region as directed by the Manager, CFOps.

This position is also responsible for tracking processes that maximize and prioritize time spent by CFOps team members on administrative and reporting functions in order to perform work in the most cost-effective way possible.

Regular, predictable attendance is essential for satisfactory performance.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Receives, organizes, tracks, and provides updates on operations and maintenance tasks from implementation to completion.
  • Tracks all Work Orders and ensures that the work performed is properly documented and closed out in the system.
  • Coordinates with Supervisors and Managers to ensure all scheduled work (CFOps, NOC, Security, Projects) is included on the daily work plan (Plan of the Day).
  • Coordinates with Supervisors and Managers to ensure that all Preventative and Corrective Maintenance is scheduled with vendors, accomplished in a timely manner, and properly updated in the Computerized Maintenance Management System (CMMS).
  • Assist with Client Notifications (Client NOT) for major maintenance as required by established policies.
  • Assist with the tracking of open ticketing items through to completion and close-out.
  • Ensures all issues found during preventative maintenance, corrective maintenance, or incidents are properly documented and generate a new Work Order (WO) in CMMS.
  • Tracks all open CMMS WOs through to completion and proper closeout.
  • Maintains all site Major Maintenance Calendars and ensures they are up to date and available for distribution to clients.
  • Ensures that all maintenance documentation is organized and filed to ensure each site is audit ready.
  • Tracks timelines, plans, and procedures across the CFOps team to ensure major tasks are completed in accordance with the Manager, CFOps schedule.
  • Assists with scheduling critical maintenance in the Change Management (CM) system.
  • Assists in maintaining critical spare parts inventory to ensure all required materials are on site at all times.
  • Tracks Incident Reporting process for each site to ensure follow up actions and reports are completed within required time constraints.
  • Attends monthly Department All-Hands Meetings and other various meetings; takes notes of meetings and distributes post-meeting objectives and key deliverables.
  • Ensures Daily Rounds/Logs are organized and filed.
  • Assists the Manager, CFOps with purchase status tracking.
  • Reviews documentation and preparation for annual audits and Business Continuity Plan testing.
  • Assists the Manager, CFOps with the administration of the bid processes, bid leveling, and contract comparison between vendors.
  • Periodically assists in evaluating vendor performance.
  • Assists and tracks additional metrics which measure team performance, individual task performance, and vendor performance as requested by the Manager.
  • Performs other duties as assigned by the Manager, CFOps.

KNOWLEDGE, SKILLS & ABILITIES

  • Expert skill level with MS Office Suite (Word, Excel, PowerPoint, Project, Outlook).
  • Advanced computer skills necessary to rapidly grasp an understanding of data center computerized maintenance management system (CMMS).
  • Strong proficiency in Microsoft office products and SharePoint.
  • Excellent communication skills, both written and oral.
  • Excellent annotation skills required during meetings with prompt submission of post meeting objectives and key deliverables.
  • Ability to communicate effectively with customers and internal staff.
  • Ability to coordinate, supervise, and communicate with contractors who perform maintenance or upgrade work on these systems.
  • Ability to learn quickly and address issues as they arise
  • Ability to operate in and promote a rigorous process-driven team environment.
  • Ability to logically analyze and solve problems.
  • Ability to expertly multi-task multiple projects.

EDUCATION & EXPERIENCE

  • Associate's Degree (or equivalent work experience) and minimum of two years' administrative and customer service work experience or Bachelor's Degree and 6 months related administrative or customer service experience.
  • Experience in maintenance administration is strongly preferred.
  • CPR/First Aid and NFPA70E Certified during employment.
  • Project Management experience suggested.

PHYSICAL REQUIREMENTS

  • Primarily sitting but also includes walking, standing, and bending.
  • Ability to communicate effectively with verbal, visual and listening skills.
  • Close visual work on a computer terminal.
  • Ability to type greater than 50 WPM.
  • Dexterity of hands and fingers to operate any required equipment as well as to operate computer keyboard, mouse, and other technical instruments.

WORK CONDITIONS

  • Typical office environment consisting of cubicles.
  • Extensive daily usage of a computer or workstation.
  • Must work on-site; no telecommuting.

SPECIAL REQUIREMENTS

  • Must be comfortable working in a high stress, fast paced environment with shifting priorities and multiple deliverables.
  • Occasional travel to other RDC locations may be required.
  • Must wear close-toed shoes with a solid leather or composite sole.
  • Must possess a current, valid state-issued driver's license.
