JOB SUMMARY:

This role is responsible for providing efficient and accurate administrative support for the Racial Justice & Public Policy (RJPP) Department. The role assists with signature events, marketing needs, managing communications, and supporting meetings as needed, all while maintaining confidentiality.

ESSENTIAL FUNCTIONS:

Support our Inc.lude™ Consulting Services

  • Update and maintain client database (Pipedrive) with contact information
  • Assist with developing contracts
  • Work closely with Business Office on monthly invoicing
  • Set-up spreadsheets, coordinate individual sessions

Facilitators/Workshops

  • Order or pick up food for workshops/trainings
  • Set-up for the trainings
  • Update VolunteerHub with Facilitator’s hours and those who have completed the trainings.
  • Print handouts/materials as needed

Public Policy

  • Coordinate any tabling opportunities.
  • Work with Volunteer Coordinator on any volunteer requests.
  • Assist with outreach efforts with elected officials.
  • Assist with department’s signature events as needed.

RELATIONSHIPS:
The incumbent will interact with department staff, other departments, and organization’s leadership. Help identify volunteer need and assist volunteer coordinator with recruitment efforts to support racial justice and public policy work.

 
Position Requirements

QUALIFICATIONS:

  • High school diploma or equivalent.
  • Minimum of one year related experience in a service oriented-environment; or equivalent combination of education and experience.
  • Strong written and verbal skills. Ability to read and comprehend documents such as contracts, forms, instruction/procedure manuals and customer statements/invoices.
  • Ability to write routine reports and correspondence.
  • Excellent organizational and project coordination skills; strong attention to detail; demonstrated ability to protect confidential information
  • Demonstrated experience in electronic processing software (spreadsheet, and word processing).
  • Must be comfortable in working with a variety of cultures, backgrounds and perspectives.
  • Strong problem-solving ability.
  • Conflict management ability.
  • Customer service oriented and ability to maintain a good professional relationship with vendors, staff, and team members.
