The National Board for Certified Counselors (NBCC) is a not-for-profit, independent certification organization whose primary purposes are to establish and monitor a national certification system and to identify those counselors who have voluntarily sought and obtained board certification. The organizational mission is to advance counseling as the premier certification body of the profession with a vision of enhancing society worldwide through quality counseling. NBCC and Affiliates is comprised of three organizational affiliates: the National Board for Certified Counselors (NBCC), the Center for Credentialing & Education (CCE), and the NBCC Foundation (NBCCF).

NBCC and Affiliates has operations and partnerships in 40 countries providing certification, training programs, and public mental health services through institutes and residencies. Over 66,000 board certified counselors serve the public and advance mental health efforts across the globe. With a portfolio of nine credentials related to professional counseling, mental health, addictions, human services, and career development, NBCC and Affiliates seeks to expand the professional capacity of counselors and human service professionals. NBCC is focused specifically on credentialing, certification, and quality assurance, while CCE focuses on providing education and training opportunities and leveraging credentials to best serve communities. Additionally, CCE provides organizational management services for associations, boards, and other management clients. NBCCF engages in capacity building, seeking to expand access to mental health services in underserved and never-served communities and increase the accessibility of high-quality professional development resources for counselors.

FOUNDATION DEPARTMENT

NBCCF leverages the power of counseling by strategically focusing resources for positive change with the goal of improving the mental health of the underserved and never-served throughout the world. The Foundation’s primary objectives are to increase the number of board certified counselors and Mental Health Facilitators working with high-priority populations and to engage them in becoming innovators of counseling practices that benefit the underserved. Scholarships, fellowships, and capacity-building grants are our primary tools for accomplishing our objectives. The Foundation’s strategy is to award scholarships to individuals pursuing careers as professional counselors who are affiliated with high-priority populations and who commit to serving them after graduation. Capacity-building grants fund expansion efforts to increase mental health resources in rural and minority communities where access to mental health care is extremely limited. Scholars and fellows also participate in NBCCF-sponsored trainings and receive other academic and professional supports to expand effective practice in their communities.

POSITION REQUIREMENTS AND RESPONSIBILITIES

The Administrative Assistant assists the Executive Director and other Foundation staff by performing a variety of support duties, such as conference or meeting planning, communicating with staff in-house and in regional and national NBCC offices, communicating with program partners, implementing recruitment, maintaining files and databases, tracking constituent progress, preparing complex documents and/or coordinating activities.

The following responsibilities and duties are a summary of the essential roles and functions of the position. Other duties may be performed as needed or requested to achieve departmental, divisional, and/or organizational goals.

  • Welcomes all visitors, whether live or virtual, maintaining a professional, warm, and efficient office climate.
  • Collects, compiles, records, or otherwise gathers data and prepares standard and custom reports with information necessary for decision-making, grant administration and programming.
  • Answers telephone calls and emails, and routes to staff in a professional manner.
  • Enters applicant information into databases, creates folders and sends information as directed.
  • Opens and processes incoming mail and faxes.
  • Processes outgoing mail.
  • Maintains current program and event technology platforms.
  • Maintains Foundation calendar.
  • Summarizes meeting notes and distributes to attendees.
  • Sends certificates and recognition as directed.
  • Assists with travel, training, and conference and other event planning.
  • Assists staff with program partner communication.
  • Assists with virtual meetings and trainings
  • Assists with the production of program-related media
  • Participates in organizational planning and development
  • Maintains inventory of stationary, office, donor, and program supplies.
  • Processes check and/or invoice requests.
  • Maintains Foundation accounting folder.
  • Assists with mass mailings by labeling and/or stuffing envelopes and preparing appropriate email communications.
  • Other duties as assigned.
 
Position Requirements

EDUCATION

  • High-school diploma required; associate degree preferred
  • 5 years related experience and/or training required
  • Working knowledge of Microsoft Word, Access, an Excel..
  • Working knowledge of the internet, company databases and queries.
  • Excellent verbal and written communication skills required.
