Klallam Counseling Patient Services Representative I
OVERVIEW: The Patient Services Representative manages the clerical aspects of the outpatient program, covering clerical and administrative policies and procedures; has the primary responsibility for ensuring that clients and guests are greeted and directed to the services that they need in accordance with good customer service and within HIPAA (Health Insurance Portability Accountability Act) and 42CFR regulations. The individual must be a team player.

SUPERVISED BY: Treatment Program Manager
POSITION STATUS: Regular full-time non-exempt. This position includes medical, dental, life insurance, retirement, annual/sick leave benefits
SALARY LEVEL:
WORK SCHEDULE: Monday - Wednesday 12:00 pm to 9:00 pm; Thursday 10:30 am to 7:30 pm and Friday 8:00 am to 5:00 pm.
Hours may vary depending on agency needs. Occasional weekends for a scheduled activity
ESSENTIAL FUNCTIONS OF JOB:
Greet and respond to persons accessing the Klallam Counseling Center either in-person or by telephone to help ensure that they have a pleasant and satisfactory visit.
Assure an efficient client flow system, receiving clients and routing them to appropriate staff person and provide necessary information to clients and staff.
Supervision of urinalysis/BAL/saliva testing when UA tech is not available.
Maintain and coordinate client appointments for counselors, include funding, phone number and appointment type. Assuring contact with clients 24 hours in advance of appointments.
Maintaining an up-to-date phone and address list of referral agents.
Maintain client records which include the following:
Preparing for upcoming visits; and assisting individuals in accessing all services they may be eligible for.
Typing correspondence for all programs
Filing all documents properly (no loose paperwork)
Pulling files for counselors; properly and timely purge files when needed
Sort and distribute mail, faxes and messages
Updating copies of all Intake/ Evaluation form packets
Tracking insurance eligibility and availability to ensure full, complete and timely payments for all services provided
Update and keep copies available of all AA/NA schedules and office brochures; includes other materials to facilitate client communications.
Maintain the public areas (waiting room, restrooms, and conference rooms) so that they are welcoming to clients.
Demonstrated knowledge and the ability to model the expectations of confidentiality.
Maintain inventory and ordering procedure for office and other building supplies.
Maintain scheduling calendar for the Conference Rooms and KCS vehicles.
Maintain, when feasible, staff calendars.
Perform other related duties as assigned by the Treatment Program Manager or Lead Counselor; which includes assisting other staff when available.
DESIRED QUALIFICATIONS:
Minimum of high school diploma or equivalency.
Ability to type 40 wpm.
Absolute adherence to confidentiality.
One year experience in greeting and working with the public.
Computer competency in word processing, spreadsheets, and data base.
Strong organizational skills and the ability to express thoughts clearly in verbal and written communications.
Ability to communicate effectively and tactfully with clients and the community.
Ability to multi-task and assume a variety of roles depending on need.
Ability to establish and maintain effective working and public relationships.
Ability to work independently, makes decisions, and maintains program goals and priorities.
Good personal hygiene and grooming.
Ability to successfully pass a criminal background check and UA drug screening test.
If past drug/alcohol abuse exists, must have minimum of 1 year clean.
If past client of agency, must not have been a current client in the past year.
PHYSICAL REQUIREMENTS:
Stamina to work 40 hours per week primarily in an office setting
Ability to reach and squat for filing purposes
Walking and standing; sitting down for long period of time
Able to lift and carry light loads approximately 25 pounds
Requires use of standard office equipment, including computer, phone, fax, and photocopier
Need to be able to effectively deal with a wide public population who may exhibit angry and threatening demeanors
Being tactful and friendly
OTHER DUTIES AND REQUIREMENTS:
Must be able to comply with the LOWER KLALLAM TRIBE policies and procedures, including the Drug Free Workplace
