Description

Primary Responsibility:

Performs a variety of office and clerical tasks in support of the Gilpin County Parks and Recreation Department including but not limited to voucher and payroll preparation, maintaining records, drafting reports, acting as a lead on their shift, answering telephones, assisting patrons with registrations and memberships, collecting admission fees and providing general program and facility information. Acts as lead front desk staff on shift.

Main Job Duties:

  • Assists patrons with registration, waivers, and information for all programs, facility use, and memberships in a friendly and professional manner demonstrating high standards of customer service.
  • Answers, screens and transfers calls in a positive, professional, knowledgeable manner, and makes phone calls as necessary. Answers questions and troubleshoots problems for the patrons, as well as, for the Receptionist on duty in regards to scheduling, classes, and registration system issues. (30%)
  • Collects appropriate admission, class and membership fees. Documents according to office procedures. Utilizes the cash register according to County guidelines. Balances cash register drawer at the end of each shift/day, prepares deposits and delivers deposits to the Treasurer’s Office. Follows up with outstanding balances and documents collection efforts. (15%)
  • Maintains account records of participants according to established procedures. Performs data entry using specialized software. (10%)
  • Assists the Office Manager - Parks & Recreation with various administrative and financial duties such as preparing vouchers, expense posting, budget reconciliations, revenue and expense tracking, purchasing office supplies, drafting and typing various correspondence and forms, and data compilation for reports. Runs reports for the Office Manager - Parks & Recreation rom the registration system and various other spreadsheets as required. (20%)
  • Assists Office Manager as necessary with Front Desk staff bi-weekly time card review. (5%)
  • Acts as lead front desk staff person on shift. Assists with training other staff in the use of the cash register, phones, recreational software, etc. (15%)
  • Opens and closes facility and performs building checks. (3%)

Additional Job Duties:


Performs other duties assigned by the Office Manager - Parks & Recreation and Director - Parks and Recreation. (2%)

Hours:


May be required to work varying shifts including evenings and weekends Monday - Sunday 8am - 8pm.

 
Position Requirements

Qualifications:
Education: High School diploma or equivalent.

Computer knowledge:

  • Microsoft Office, including Word and Excel, with the ability to learn new programs.
  • Must possess mathematical ability and be able to balance a cash register drawer, verify time cards and deposits, and review reports for accuracy.

Ability to:

  • Establish and maintain courteous and effective working relationships with employees, the public and other agencies.
  • Accurately and effectively transmit and receive information that is necessary to the accomplishment of goals and objectives, including effective written and oral communications in English; and the ability to listen.
  • Work efficiently and effectively as a team member within the department.
  • Exercise independent judgment.
  • Understand, interpret and communicate policies, procedures and protocols.
  • Organize work, set priorities, meet critical deadlines, and follow up on assignments with minimum direction.
  • Work in a fast-paced environment.
  • Must pass a background check, including traffic and criminal.

Certifications:

  • Must possess a valid Colorado Driver’s license without any restriction due to driving record. Must also be able to drive a county vehicle.
  • Must possess FEMA ICS 100 and 700 certifications within 6 months of employment.

Physical Demands
Ability to:

  • Physically operate a variety of equipment such as computers, copiers, facsimile machines, printers, etc.
  • Concentrate and pay close attention to detail with frequent breaks in concentration associated with answering phones or speaking in person to clients requiring assistance.
  • Perform all physical movements necessary for office administration.

Experience:

  • At least one-year previous office/clerical work experience required.
  • Previous customer service experience required.
  • Experience using a cash register preferred.

Salary Information The hiring range is $15.10 - $15.86 / hr DOQ. The pay range for the Office Assistant is $15.10 - $21.92 / hr.
