Associated Eye Care is a multi-specialty group practice providing surgical services and vision care for all ages. We have five locations spanning the eastern Twin Cities of Minnesota and western Wisconsin. Position Summary

Associated Eye Care is currently seeking a Surgery Coordinator. Candidates must be able to work full-time, and have the ability and willingness to work a flexible schedule depending on the daily needs of the ASC. This position is responsible for coordination of ASC Medical Records, patient registration, clerical duties and phone calls.

Essential Functions

  • Knowledgeable in registering all surgery patients
  • Responsible for obtaining all appropriate insurance information and signatures from patients at the time of registration
  • Responsible for conducting all registration duties in a timely, confidential manner
  • Responsible for answering phone in a courteous and professional manner at front desk
  • Responsible for monitoring fax machine for operative reports and filing them electronically, etc.
  • Is competent in beginning-of-day and end-of-day processes
  • Responsible for chart audits for key items at the end of each surgery date and following up with incomplete items
  • Responsible for creation of the electronic medical chart with attention to detail
  • Responsible for handling all medical record releases and invoices
  • Works closely with AEC staff in regard to accuracy of surgery orders
  • Competent in duties and maintains an up-to-date knowledge
  • Actively participates in QI projects, including contributes ideas for improvement, identifies issues & assists in collection of data for QI plan, communicates quality improvement findings with peers and incorporates findings into practice to promote positive outcomes

Other Essential Functions

  • Must be willing and able to adjust schedule depending upon the needs of the company
  • Must present self at the workstation, ready for work, at the scheduled time
  • Participates in department and company meetings, as requested
  • Performs other duties as assigned
  • Adapts to working varied scheduled as needed

Position Requirements

Education & Licensing

  • High School Diploma, or equivalent, required
  • Medical administrative courses helpful and medical technology background preferred

Experience

  • 2 years’ experience in related field required
  • NextGen EHR experience desired

  • Can confidently establish priorities based on workload, focusing on attention to detail and accuracy
  • Capacity to analyze and problem-solve issues in order to identify areas of process improvement and increase efficiencies
  • Able to work independently and handle and resolve problems on own, but also know when to collaborate with staff and be a team player
  • Ability to assess the importance and relevance of information and effectively and efficiently share information and relevant detail to the appropriate persons
  • Excellent oral and written communication skills to effectively communicate with clients, clinicians, vendors and staff
  • Courteous and professional demeanor while demonstrating enthusiasm and commitment to company vision and mission
  • Ability to maintain confidentiality utilizing HIPAA guidelines and maintain compliance with OSHA rules
  • Advanced computer skills, including Word and Excel and a willingness to learn new software programs
