POSITION SUMMARY
The Assistant Operations Manager assists the Operations Manager with the overall Document Imaging Management process. Primarily responsible for the oversight and management of the daily production process under the guidance of the Operations Manager. The Assistant Operations Manager contributes towards the hiring, training, and coaching processes as directed by the Operations Manager. Actively monitor the workflow, quality, and production efficiency of the production staff and processes. In addition, contributes towards the assessment of team members and provide feedback, training, and disciplinary action as necessary. The Assistant Operations Manager also provides support in other processes including, but not limited to; payroll processing, HR documentation, monitoring and managing the teams' work schedules and issue research and resolution.

ESSENTIAL FUNCTIONS
• Provide managerial oversight to the Document Imaging team in management of overall work processes, responsibilities and production turnaround times.
• Proactively manage significant issues in document imaging, status of projects, barriers and successes; corresponding communications and escalation paths.
• Responsible for monitoring team members' performance according to productivity and quality standards as defined in job descriptions and Training Manual.
• Responsible for operational activities relating to the Document Imaging Process including; quality control, productivity, workflow management and queue maintenance.
• Facilitate problem solving and collaboration with all internal and external clients. Work closely with the Operations Manager in addressing issues related to accurate and timely medical record receipt and Document Imaging Management processing.
• Actively manage and monitor the Document Imaging process and performance as outlined in STAT's policies and procedures and Training Manual.
• Identify and implement production process improvements that positively impact efficiency, quality control and cost savings.
• Coach and develop team members to master all aspects of the production process as well as providing discipline and counseling as directed. Monitor and provide timely and consistent feedback to employees.
• Responsible for ensuring compliance of STAT Imaging documented and established workflow guidelines.
• Ensure all team members adhere to all federal, state and local laws pertaining to patient privacy as well as the policies, guidelines, programs, and procedures in the employee handbook.
• Perform other tasks and duties as assigned.

POSITION QUALIFICATIONS
Must be able to communicate clearly (written and oral) proactively and concisely with all key stakeholders, have exceptional organizational and time-management skills, and capable of making critical decisions. Ability to accept and adapt to changes in order to influence team members effectively. Must be detail-oriented in order to perform work accurately and thoroughly. Must be willing to take initiative to make prompt, proactive steps towards problem resolution. Proven skills in handling antagonistic situations and providing guidance and feedback to other team members as needed; facilitating completion of a work assignment or to defend a position or idea. Furthermore, must be able to demonstrate ability to create a positive, team-based work environment.

 
Position Requirements

ADDITIONAL SKILLS & REQUIREMENTS
Must have 1 to 2 years related experience. Must have bachelor's degree or equivalent combination of education and experience required. CDIA Certification preferred, but not required. Must have general knowledge of office equipment and software and programs. Thorough knowledge of federal and state information regulations and medical record keeping requirements. Must be able to pass pre-employment screening and driving history background based on Hospital and Company guidelines and policies.
