Description

The Program Manager will provide extensive logistics planning, project management, internal and external directorate documentation and reporting procedural expertise in the following tasks for the CG-4 Directorate.

Additional Responsibilities Include, but are not Limited To:

• Provide administration and coordination functions by proposing milestones and communication protocols.
• Track and follow-up on any action items requiring CG-4's review and/or approval by using a government supplied tracking system.
• Provide support updating project plans and documentation, reviewing and drafting documents and reports, and managing coordinating project information.
• Assist to oversee and administer a variety of projects that are procedural, organizational, administrative, purchasing and budgetary and recommend modifications to increase effectiveness and efficiency. Develop the process to implement recommended modifications for CG-4.
• Provide support by monitoring the existing reporting processes (templates, etc.) and document findings to improve reporting processes to reflect the most current needs of the government. Submit recommendations, with supporting documentation to the COR for review and approval.
• Facilitate meetings and working group sessions and assist in organizing, coordinating and executing meeting logistics, generating and tracking actionable items and meeting minutes, preparing multi-media presentation and briefing and reference materials.
• Provide the full range of technical writing and editorial support including: drafting, copying, formatting, proofing, and editing services.
• Provide technical advice to CG-4 staff, other CG-4 Program Offices, and perform related work.
• Provide document support to enable the USCG to develop various engineering and logistics program reports by interfacing with CG-4 personnel to gather data, artifacts and information.
• Provide monthly status report updates, with supporting documentation, to the COR for review.
• Provide drafts for review and any redrafts of CG-4 reports or document as assigned.
• This shall include Annual Plans, Strategic Plans, Implementation plans, and/or any other related documents.
• The task will include the consolidation of program metrics, program states, financial data, and or any other required input from various CG-4 staffs into a single deliverable per assignment for review.
• Provide information and resources and standards to the CG-4 Directorate via process guides, policy instructions, technical writing, graphic development, check sheets, process flow charts, reports, graphs, and correspondence.
• Provide outreach planning and awareness activities to USCG personnel regarding CG4 practices.
• Maintain the CG-4 internal web portal and external website.
• Assist with the management of the CG-4 Concurrent Clearance process and tracking.
• Maintain current awareness information with regards to CG-4 practices, policy, procedures and awards where it is readily available for the CG-4 Directorate to access.
• Verify comments received from senior executive management are incorporated into final documents and shall maintain version control, distribute to previously identified stakeholders, and archive.
• Coordinate and consolidate the Week Ahead Report (WAR) for submission to CG-4 on a weekly basis or as assigned.
• Provide support in maintaining an existing action item and correspondence tracking system to verify the accuracy of actionable item timeframes and response deadlines are being met.
• Support in developing and maintaining a CG-4 awards management process. Track and process award submissions through the CG-4 Awards Board to senior management for approval.
• Assist in the developing executive award packages.
• Review and edit individual and team award submissions for technical correctness, writing style, and completeness.
• Collect awards submission information to provide a monthly awards report.
• Research special government awards programs and draft initial award write-ups for executive leadership review and edit. Provide support by maintaining document version control for all correspondence (memorandums, letters, presentations, documentation, etc.).
• Provide support in coordinating meetings between CG-4 senior executive leadership and internal or external stakeholders.
• Type agendas, presentation materials and meeting minutes for government review; reserve conference rooms; and notify attendees.
• Expand data collection by an information system or integrating data across existing information systems to produce the information required by CG-4.
• Assist with proposal development, if necessary.
