Description

The Senior Administrative Professional Candidate shall provide support to the Electronic
Warfare/Foreign Military Sales (FMS) Branch Chief for the overall management and oversight of
Electronic Warfare Division programs. Management duties and tasks will require the effective
interaction between multiple GSUs, organizations, and agencies critical to fulfilling sustainment
activities.

Additional Responsibilities Include, but are not Limited To:

  • Support government requirements for internal/external briefings and reports by assisting with preparation, scheduling, and coordination of materials.
  • Assist in preparing and reviewing correspondence as well as screening telephone calls and visitors.
  • Assist in the use of personal computers and appropriate software applications to produce visual aids such as slides, viewgraphs, briefing charts, and other graphics.
  • Assist to establish and maintain official file plans with the use of Air Force Records Information Management System (AFRIMS).
  • Support the government by filing and retrieving electronic and/or paper graphics material to facilitate research and expedite creating of briefings and reports.
  • Provide assistance during briefings to include compiling and preparing briefings in hard and/or soft copy for special and/or recurring reports.
  • Assist in monitoring office supplies and with ordering and tracking office supplies for the division.
  • Process civilian time cards in the Automated Time Attendance and Production System (ATAAPS) or similar system, schedule in-processing appointments, monitor DTS to assist with travel order processing, and prepare and maintain file plans and files.
  • Assist with monitoring, opening, and closing conference rooms.
  • Assist divisional focal points with semi-annual self-inspections processes.
  • Assist in preparing the agenda for the quarterly Operations Division and Director Calls.
  • Produce a variety of letters, reports, spreadsheets, database report, and graphs effectively and efficiently using office automation software programs including, but not limited to Microsoft Word, Excel, PowerPoint, Project, and Outlook.
  • Assist in reviewing the content of the division electronic workflow mailbox.
  • Assist with compiling and integrating data from the Senior Officer Communication and Coordination Electronic Resource (SOCCER) tool into the division's Integrated Digital Environment (IDE) suspense task tracking system.
  • Assist in updating/retrieving information in division IDE databases.
  • Assist in compiling, formatting, and storing divisional inputs to taskings to supportdevelopment of the division response.
  • Transmit approved responses to specified organizations.
  • Assist in managing and tracking the civilian and military decoration programs for the division.
  • Assist in processing civilian monetary and honorary recognition packages.
  • Assist in reviewing all military recognition and decoration packages.
  • Assist in processing nomination packages for quarterly/yearly recognition programs and special awards.
  • Assist in preparing and briefing the status of submissions to the Chief at weekly staff meetings.
  • Manage and track the division training program activities.
  • Assist with tracking the training budget information for the training government purchase card (GPC) holder.
  • Assist in updating/retrieving training information from the Education and Management Training System (ETMS).
  • Assist in managing the divisions Functional Area Records Manager (FARM) program by identifying and scheduling records-related training.
  • Provide FARM program advice, guidance, and assistance to the division records manager, and assist as a division FARM program self-inspections team member.
  • Assist the division records documentation program by conducting surveys, requesting Staff Assistance Visit inspections, and conducting in-house training programs to ensure proper retention and disposition of records, as well as proper utilization of FARM program software and equipment.
  • Receive, sign for, and distribute both classified and unclassified mail.
  • Assist with the monitoring of the division DTS and Controlled Spend Account (CSA) program.
  • Assist division personnel with filing travel orders, travel vouchers, and the CSA program.
  • Assist by disseminating DTS and CSA program alerts and updated guidance.
  • Draft the semi-annual historical report for the division and operations division and submission and approval.
  • Maintain and modify the schedules and calendars for organization leadership.
  • Utilize Microsoft Calendar and the SharePoint application in the performance of routine schedule and calendar tasks.
  • Maintain consistency across multiple calendars and schedules to ensure accurate information is available at all times.
  • Support staff leadership, supporting teams and other office personnel by maintainingOutlook calendars and schedules of leadership personnel within the organization tomaintain accuracy and facilitate office operations.
  • Plan and coordinate meetings to include video teleconferencing and room set-up (ensuring sufficient seating, name placards, etc.).
  • Utilize the Government provided computer and operating systems to produce requireddocumentation with the correct grammar, spelling, punctuation, capitalization, andformat in addition to any editing required to written correspondence and reports.
  • Provide support by collecting and preparing materials for staff meetings, Program Management Reviews, and Technical Interchange Meetings.
  • Assist the division focal point in collecting and visually displaying materials at staff meetings.
  • Provide support in planning, formulation, editing, development and publication of finished products, such as program documentation, plans, directives, reports, briefing (internal & external), correspondences and other presentations (technical and nontechnical) in the media and format requested.
  • Ensure compliance with applicable administrative guidance to prepare and review correspondence.
  • Assist in the use of computer applications (Microsoft office software suite) to produce databases, spreadsheets, graphics and other specialized products and facilitate the use of standardized automated forms such as organizational charts, Pyramid Alert/Recall and Shelter-In-Place rosters, travel orders, performance reports i.e. Officer Performance Reports (OPRS) and Enlisted Performance Reports (EPRs), civilian and military awards, materials procurement, maintenance and disposition, as well as other periodic or ad hoc reports.
  • Support the development, editing, and production of reports and presentation material for internal/external customers consistent with government required formats.
  • Assist in operating graphics workstation equipment, scanner equipment, photo reproduction equipment and associated software
  • Assist with proposal development, if necessary.
