SUMMARY OF POSITION

The Academy Museum of Motion Pictures is seeking an Exhibition Project Manager for a limited term of 12 months. This position is responsible for ensuring the effective and timely implementation of several of the inaugural exhibitions of the Academy Museum of Motion Pictures, Los Angeles (the “Museum”) in a fast-paced environment.

Reporting the to the Museum’s Chief Operating Officer, this position will not have direct reports. However, this role will coordinate various installation staff during exhibition planning and installation and in coordination with the third-party exhibition designer and other consultants. The role will require a high energy leader to coordinate efforts by the Museum and third-party team members.

KEY RESPONSIBILITIES:

  • Serve as the Museum’s lead project manager for the assigned exhibitions, managing the process, completion of milestones, team communication, budget, and implementation.
  • Collaborate with the Museum’s Director of Exhibition Design and Production and Director of Exhibition Planning and Coordination on all aspects of planning and implementation.
  • Liaise with the third-party exhibition designer and other consultants on the coordination of all implementation efforts.
  • Contribute to defining scope of work for third party exhibition designer, fabricator, general contractor, lighting and AV integrators and oversee contracts/budget/schedule for these consultants.
  • Ensure smooth communication between all parties involved in executing the exhibitions. Monitor and analyze scope and budget against time and resources.
  • Utilize project management best practices, such as detailed project schedules, budgets, and communication platforms, to ensure high-quality exhibitions result, completing on time and on budget.
  • Liaise with all stakeholders to be sure they are well represented and incorporated within a strong team environment. Ensure that meetings are called, and information is regularly shared as appropriate, to keep all stakeholders moving forward.
  • Work with the planning team to develop detailed budget estimates as information becomes available. Work with the Planning and Coordination and the Finance departments on the final exhibition budgets, monitoring actuals versus budget, and report on final project cost versus plan. Participate in regular forecast meetings with Finance.
  • Review and approve all invoices related to assigned exhibitions submitted by departmental staff.
  • Closely manage implementation onsite at the Museum, including calling regular meetings, vigorously monitoring activity on the floor, and overseeing budgets. Troubleshoot any problems that arise over the course of installation and alert senior staff to any significant trade-offs to ensure that exhibitions are completed on time and goal.
  • Participate in or manage other departmental or administrative processes or projects as requested.
 
Position Requirements
  • Bachelor’s degree in arts management or other related fields.
  • Five years’ experience working in Exhibitions area for a museum, gallery, or foundation.
  • Excellent communication skills, both verbal and written.
  • Excellent organizational ability.
  • Experience developing and managing budgets in excess of $500,000.
  • Ability to work collaboratively and diplomatically.
