POSITION SUMMARY: BASIC FUNCTION

The position will serve as Administrative Assistant for the RagingWire CA locations, however may also include occasional support for VA/TX. Primary responsibility will be providing administrative support: assisting with employee events, meetings, coordinating logistics for meetings; ordering, retrieving, and setting up food; entering data; and ensuring timely flow of information. S/he will handle details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment. S/he will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, and organize and maintain administrative processes. Regular attendance is essential for satisfactory performance.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Handles a wide-range of responsibilities including administrative tasks, performing tasks on a computer, scheduling, meeting logistics, and other functions.
  • Provides administrative support to Executives & EA's, both local and corporate.
  • Supports EA team with scheduling, travel, catering, organizing client/customer visits, orders and distributes Friday breakfasts for all CA sites.
  • Assists team with quarterly Communication Meetings and monthly departmental meetings, employee events, including coordination of planning, reserving space, preparing purchase orders, set-up/break-down and any other meeting-related needs.
  • Assists with posting various marketing materials.
  • Submitting expense reports for various individuals as needed.
  • Handles special projects as assigned.
  • Formats and types routine correspondence.
  • Proficient in Microsoft Office suite, including Outlook, PowerPoint, Excel and Word.
  • Preferred proficiency with expense/travel software programs, such as Concur.
  • Handles information of a highly confidential and critical nature.
  • Performs other duties as assigned.

EDUCATION & EXPERIENCE

  • High School diploma required
  • Associate's Degree or equivalent work experience required.
  • Minimum 3-4 years' administrative and customer service experience.
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, Project, Outlook).

PHYSICAL REQUIREMENTS

  • Primarily sitting with some walking, standing, and bending.
  • Able to hear and speak into a telephone.
  • Close visual work on a computer terminal.
  • Dexterity of hands and fingers to operate any required to operate computer keyboard, mouse, and other technical instruments.
  • Able to lift and carry up to 20 lbs.

WORK CONDITIONS

  • Standard office environment;
  • Extensive daily usage of workstation or computer.

SPECIAL REQUIREMENTS

  • Must work on-site; no telecommuting permitted.
  • Ability to drive between California area locations or to pick up and deliver items in local area.
  • Must possess a current, valid, state-issued driver's license and car insurance.
  • Must be comfortable working in a highly critical, fast paced environment with shifting priorities.
  • Ability to provide occasional after hours support required.
