Dallas Institute of Funeral Service is located in Dallas, Texas. Dallas Institute is a non-profit corporation offering post-secondary education to men and women interested in funeral service as a career. Currently, we are seeking candidates for the position of Accounting Office Clerk and Registrar to serve the Pierce Mortuary College's mission of providing exceptional services for its students across all three campuses.

POSITION OVERVIEW: The Office of the Registrar and Student Accounts supports and promotes the academic mission of the college by connecting students to the faculty, curriculum, and classroom from enrollment to graduation and beyond.

PERFORMANCE MEASUREMENTS:

  • Ability to coordinate all functions of the position to the satisfaction of the college president
  • Be able to pass audits by state, federal or other agencies as required by law or licensing
  • Keeping Student Records up to date.

ESSENTIAL JOB FUNCTIONS:

  • Perform daily scanning of documents for communication to Broadview.
  • Manage accounts payable inbox for payments of invoices and other obligations of the school.
  • Enter all student payments timely and accurately.
  • Follow-up with Broadview for additional details regarding transactions for both deposits and payable transactions.
  • Collect accounts receivable and perform accounts payable function.
  • Manage the weekly check run. Update student ledgers as appropriate for completed transactions.
  • Regularly maintain detailed reconciliations of most balance sheet accounts
  • Check and assess all accounting records for accuracy. Review Quickbooks entries to ensure they are posted in the correct account and the correct cohort
  • Implement best practices, standards, and procedures in all accounting functions and activities. Reviewing current procedures and, if required, create new and effective ones.
  • Reconcile student balances and make appropriate corrections where necessary.
  • Assist with audit request queries.
  • Assist with queries requested by Broadview
  • Provide direction and management of registration, student accounts, student information, and records processes including but not limited to the dissemination of student records, coordination of transcripts, accurate verification of grades, provision of accurate transcripts to current and former students, graduation and degree audits for students preparing to complete a credential, and other comprehensive student records services.
  • Implement and maintain student-centered workflows that are efficient, effective and optimize the student information system. To enhance the student experience. Ensure proper security for the institution's official student records in accordance with the Family Educational Rights and Privacy Act (FERPA), state law, and institutional policies and procedures.
  • Oversee international student visas in the SEVIS system, ensuring compliance with the policies of the college and the Office of Homeland Security.
  • Complete regular internal audits of rosters, attendance, grades, or other official college documents to ensure full compliance with the institution, federal, and accrediting agency regulations and audit expectations.
  • Supervise and assist with the granting and distribution of degrees and certification and records processing for licensing exams.
  • Oversee and coordinate match day activities for students on externships or funeral site visits.
  • Generate reports for faculty, deans, administrative departments and external agencies as requested and in compliance with FERPA regulations.
  • Other duties as assigned by the college president

QUALIFICATIONS:

  • An Associate Degree or higher in finance, accounting, or other the related area of the position
  • Quickbooks experience preferred.
  • 2-3 years experience as an accounting clerk
  • KNOWLEDGE, SKILLS, AND ABILITIES: A college registrar should be able to work with a variety of people and have exceptional communication skills, including when collaborating with college departments. He or she should be highly organized and be able to quickly adapt to change. Attention to detail is also necessary. Be familiar with college student information systems. Be competent in the use of technology and record-keeping systems. Use Microsoft Word, Excel, Access and other software.
  • Must be cooperative, have a sense of urgency and understand that there are multiple lines of authority that need to be dealt with on a daily basis.
  • Aware that all transactions must be recorded on a timely basis and not put issues off to the side for a later time.
  • Should have a good understanding of QuickBooks. Able to use the reconciliation feature, search, and troubleshoot.
  • Attention to detail
  • Strong organizational and analytical skills
  • Ability to manage multiple projects and accounts simultaneously
  • Proficient in MS Office. e.g. Outlook, Word, and PowerPoint
  • Must be highly proficient in Excel spreadsheets
