Compliance Program Associate

General Position Description:

Provide assistance and coordination to the Compliance Program including HIM Center. This position will contribute to the timely collection and transfereance of records authorized.

Position Requirements


  • High School education required with 2-4 years of health care related experience but Associates Degree preferred.
  • Ability to work in a fast paced environment  with the ability to handle multiple priorities.
  • Must possess excellent customer service skills.
  • General knowledge of medical anatomy and terminology.
  • Must possess knowledge of Microsoft Word, Excel, Electronic Medical Record and Healthcare billing systems.
  • Must have experience using office equipment including but not limited to fax, scanner, copier, etc.
  • Must possess general understanding of HIPAA/HIGHTECH and state privacy laws.
  • Must possess ability to maintain patient and company confidentiality.


Working Relationships:

  •  Will interact with all employees of the Compliance department on a regular basis as well as other cross-functional team-members at the Administrative Offices, Clinics/Centers and Business Associates.
  • Have frequent verbal and written interactions with outside entities including but not limited to attorney offices, governmental offices, law enforcement, medical records companies, third party billers, patients and patient family members, and others.


Principal Duties and Responsibilities:

  • Provides daily review of record requests and subpoenas as they are received by records management system and distribution of requests to appropriate persons.
  • Responsible for printing, scanning, faxing, and mailing records and documents as assigned.  Provide general,  firstline assistance to center R2M2 users who encounter common user errors.
  • Responsible for accessing multiple EMR and billing systems (current and legacy), printing appropriate records, scanning records, and uploading to records management system after approval.
  • Responsible for review and timely processing of Subpoenas, Court orders, Law Enforcement Investigations and other such sensitive requests.
  • Makes independent judgements regarding the validity of record requests and disclsoures as required by federal and state privacy laws.
  • Generate reports for use during the quartery audit.  Provide preliminary review of records requests for validity per P&P, HIPAA/HIGHTECH and state privacy laws.
  • Will contact and receive inquiries from requesters and centers regarding status of record request, validity of authorizations and subpoenas, and any additional needed documentation.


Working Conditions

  • Non-Center Based.  Requires:   the ability to sit at a computer for hours at a time (with some bending and stooping) and travel to Centers (if so, the noise level is moderate and there is potential for exposure to infectious diseases and blood-borne pathogens).
