Description

The Executive Administrative Assistant will provide secretarial support for the CDC at the Chamblee Campus. The duties will entail, but is not limited to: data entry, creating word documents, creating and maintaining spreadsheets, telephone staffing, travel, time and attendance, full control of possible multiple senior calendars, meetings, conference support, mail, records management and other duties assigned.

Duties include:

  • Managing complex calendar/schedule, prioritizing and revising as needed daily. Scheduling travel using Concur Travel System. Utilzing the scheduling system and providing oversight and scheduling of meetings and conferences for senior leadership.
  • Conduct initial greeting as the primary point of contact for internal customers and the general public. Provide telephone coverage for the main Division line. Oversee the conference bridge line and recording of meetings, taking rollcall and preparing minutes.
  • Work closely with staff to ensure CDC correspondence and records process and procedures are followed.
  • Maintain training, time and attendance and records management scheduling. Collect information for various types of governmental records to format program information in appropriate templates.
  • Manage special projects such as developing reports from electronic systems like Concur Travel System, and CDC/IS as well as keeping reports current Prepare travel itineraries and assistance, such as copying, e-mailing and preparing draft/final documents for the completion of presentation materials.
  • Tracking/Preparing documents and updating electronic files that may include working in the Microsoft Word, Outlook, ICE, Excel, Access, PowerPoint, SharePoint and Outlook. Establish and maintain information systems needed to track activities and resources (e.g., budget spreadsheets.)
  • Provide administrative support related to inventory of supplies, maintain an adequate supply of forms and office supplies and provide support with property allocations. Perform various administrative functions for senior leadership, including but not limited to use of copier, fax machine and scanner, collating mail-outs materials.
  • Printing labels, and preparing packages for mailing, general mail sorting and distributing to include express mailings through services like FedEx, UPS, USPS, etc.

  • Be proficient in Windows-based applications such as Microsoft Word, Excel and Access, SharePoint, Outlook, TASNET, and Concur Travel System
  • Must have three years of working knowledge of the Federal Travel Regulations and CDC policies
  • Experience as a contract employee a plus
