Proposal Coordinator / Proposal Writer

Position Requirements

The successful candidate will be responsible for the following activities (not all inclusive):

  • Review Federal government solicitations for technical requirements and collaborate with team to develop proposal schedule.
  • Assist in developing compliant proposal outlines using templates in Microsoft Word. Develop page count estimates per sections and provide instructions per section based on RFP requirements.
  • Create SharePoint site for active proposals based on SharePoint site template.
  • Develop kickoff materials such as PowerPoint presentations, compliance matrices, and writing assignment tables.
  • Schedule meetings and coordinate with team members.
  • Monitor portals for solicitation updates (Amendments), communicate amendments to team.
  • Update Salesforce record with opportunity updates.
  • Assist team in developing and reviewing questions.
  • Work with team to develop win themes.
  • Serve as editor, writer, and curator for proposal sections, white papers, and other content to support proposal efforts.
  • Serve as section lead (such as past performances and resumes) on large proposals.
  • Edit writing for style, grammar, punctuation, content, spelling, readability, and clarity.
  • Maintain written documentation on proposal writing procedures; communicate these procedures to stakeholders; discuss and explain reasons for edits to technical writers.
  • Help identify and develop supporting graphics using PowerPoint.
  • Compose and maintain supporting information, such as library content.
  • Serve as proposal manager/coordinator on smaller opportunities when needed.
  • Participate in final production process, including desktop publishing, quality control, and white glove. Ensure that all production/format specifications are followed.
  • Help maintain repository of frequently used proposal information.
  • Perform additional internal and external communication tasks related to business development team efforts.
  • Assist in developing brochures and whitepapers.

Qualified Candidates must have:


  • Bachelor's Degree in English, Journalism, Communications, or related field or equivalent combination of education, technical training, or work/military experience.
  • Must possess at least 3-5 years of relevant professional experience, preferable with small business government contractor.
  • Demonstrated experience writing and editing technical documents.
  • Strong grasp of English language, including nuance and tone and ability to adapt writing style to different audiences.
  • Advanced proficiency in Microsoft Word, particularly the use of styles and creating templates.
  • Knowledge of SharePoint, Office 365 (Word, Excel, and PowerPoint) and the ability to learn new applications such as Filemaker/Claris and Salesforce.
  • Ability to work both collaboratively and independently.
  • Ability to prioritize tasks and work comfortably on deadline-driven proposal efforts.
  • Ability to be flexible and adaptable to frequently changing tasks based on client priorities.
  • Exceptional time management skills; willingness to work extended hours to complete tasks when needed.
  • Excellent verbal and written communication skills; must be able to communicate effectively with all levels of management.
  • Demonstrated understanding of proposal development process and techniques.
  • Strict attention to detail and ability to review and edit proposal content for compliance, clarity, and proper use of terminology.
  • Demonstrable editing skills at the organizational, structural, sentence, fact-checking, and proofreading levels.


  • Experience in coaching writers of varying skill levels and providing constructive feedback.
  • Experience coordinating small proposals, RFIs, or Sources Sought.
