POSITION SUMMARY: BASIC FUNCTION
The Contract Administrator owns and administrates the contracting process for Critical Facilities Engineering and Construction Departments. This position tracks and supports development, negotiations, and codification of entire contracting process, including Master Agreements and all associated sub agreements. The Contract Administrator Facilitates and documents the entire contracting process start to finish, including scheduling meetings, internal reviews and document routing as well as logs, tracks and audits document version control, file control and signature routing.
Support additional procurement and insurance processes necessary to supplement and support the contracting process.
ESSENTIAL DUTIES & RESPONSIBILITIES
Coordinate and schedule all meetings of stakeholders in the contracting process.
Attend all meetings, draft & distribute meeting minutes.
Consolidate all document changes; if applicable and distribute to stakeholders for review.
Route all documents for wet and digital (DocuSign etc.) signature as required.
Control all document version development.
Own and control all contract folder and files structure and storage
Interface with procurement department, legal department, outside counsel, insurance consultants, internal and external stakeholders, project controls, project managers, vendors, suppliers and service providers in contracting and supplemental process associated with contract development.
Performs other duties as assigned by Director of CFED/Construction Business Operations

Able to be highly confidential.
Proficient with computers to include the utilization of Microsoft programs such as Word, Excel, Power Point and Outlook.
Able to work in a team environment.
Manages stress and/or fast-pace effectively.
Excellent communication and problem-solving skills.
Legal, Contracts, Procurement and Insurance knowledge necessary.
EDUCATION & EXPERIENCE
High school diploma required.
College diploma preferred
Paralegal certification and/or experience preferred
Minimum 5 years contracts administration or support experience required
PHYSICAL REQUIREMENTS
Primarily sitting with some walking, standing, and bending.
Able to hear and speak into a telephone.
Close visual work on a computer terminal.
Dexterity of hands and fingers to operate any required computer keyboard, mouse, and other technical instruments.
Able to lift and carry up to 20 lbs.
WORK CONDITIONS
Standard office environment with extensive daily usage of workstation or computer.
SPECIAL REQUIREMENTS
Must possess a current, valid state-issued driver's license.
Travel very unlikely but possible/infrequent.
