Job Summary:

The Scheduling Coordinator is responsible for all aspects of scheduling seasonal and part-time team members within the Ballpark Operations department, including but not limited to Gameday Event Staff, Security, and Guest Experience. This employee will schedule staff for all events at PNC Park, including but not limited to, baseball games, concerts, and private events. They will also serve as the primary point of contact for all scheduling-related needs in the organization and be responsible for providing best-in-class internal and external service to all guests and employees at PNC Park.

Responsibilities:

  1. Produce monthly schedules for all seasonal and part-time team members within the PNC Park Ballpark Operations Department.
  2. Build schedule templates for gameday event staffing needs as well as special events held at PNC Park.
  3. Serve as a subject matter expert on the employee scheduling system used by the Pirates.
  4. Coordinate all schedule changes for Pittsburgh Pirates home games, special events, concerts and communicate appropriately with all involved parties.
  5. Prepare employee schedules and assist Managers in the review of hours worked for bi-weekly payroll processing.
  6. Coordinate requests from Pirates employees for all event-staffing needs.
  7. Ensure each position is staffed with the appropriate qualified employee and assist Managers in setting up qualifications and rules for auto-generated scheduling based on the specific requirements of the department.
  8. Upkeep and maintenance of all employee contact information.
  9. File all disciplinary, resignation and termination letters, leave of absence requests and PAF's for all game-day employees.
  10. Support special projects related to staffing, including but not limited to the development of staffing models, assessments of existing staffing models, and labor efficiency.
  11. Assist Human Resources with recruitment and interview processes for all seasonal and part-time new hires.
  12. Prepare and assist in executing all training logistics and onboarding processes as needed.
  13. Coordinate with appropriate personnel to collect information in order to generate reimbursement invoices for PNC Park Events Department.
  14. Attend all scheduled homestand meetings, non-gameday event meetings, and facility meetings.
  15. Prepare daily game day reports and ballpark maps detailing tickets sold per section for the PNC Park Ballpark Operations Department.
  16. Have full knowledge of all Pirates and PNC Park policies, procedures, philosophies, and service standards.
  17. All other duties as assigned by Manager, Ballpark & Event Operations.
  18. Assist employees with all mailroom processes and equipment.
  19. Inspect the ballpark before games and special events to ensure the correct set up of events and signage.
 
Position Requirements

Required:

  1. Bachelor’s degree in Business, Sport Management, Human Resources, Finance or equivalent experience.
  2. Demonstrated ability to effectively work autonomously and with a team at all levels of the organization.
  3. Ability to work at a fast pace and adapt quickly to change to meet the demands of a 365-day event business.
  4. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Desired:

  1. Demonstrated understanding of advanced scheduling software (i.e., ABI, NOVAtime, ADP).
  2. At least two years of office environment work experience with a demonstrated increase in the scope of responsibilities.
  3. Two or more years of experience scheduling a large, complex and/or CBA represented workforce.
