WHAT YOU WILL BE DOING:

Position Summary: The Administrative Practice Supervisor oversees all medical administrative functions of the center and regional autism program. Responsible for supervising day to day operations of the center/region including employee/patient satisfaction, medical billing, patient and staff scheduling, and authorization reporting. The position is responsible for the management of all administrative tasks and will assist with clinical recruitment. The Administrative Practice Supervisor's role assists with maintaining key performance indicators at the center and for staff retention and morale.

  • Implements and represents ESUCP policy enthusiastically.
  • Represents ESUCP professionally and ethically to internal and external stakeholders.
  • Supports the development of the business strategy for the service area.
  • Oversees administrative and daily office operations.
  • Delivers excellent patient and staff support including all scheduling needs.
  • Manages the scheduling for 100% contract fulfillment of patients and optimization of staff schedules.
  • Communicates all pertinent information to individuals receiving services or their guardian regarding appointments, insurance, authorization, or any other information necessary for the individual to manage their care and services.
  • Communicates program policy and policy violations to the appropriate party
  • Administers seamless onboarding of employees and clients, as well as, maintains employee records.
  • Monitors personnel, training and health requirements
  • Maintains client records, filing system, ensuring confidentiality and compliance with governing body requirements; including annual releases/forms, incident reporting etc.
  • Manages databases and EHR needed for agency and program activities.
  • Supervises medical coding and medical billing to ensure 100% accuracy.
  • Ensures service compliance based on funder for both client and staff.
  • Secures, maintains, and tracks current authorizations required for services.
  • Checks for active status with ESUCP NC & VA services and third-party payer sources, which includes but is not limited to Medicaid, private insurance.
  • Reviews outstanding balance for each individual based on information received from AR and communicates this information to families.
  • Assists in coordinating, preparing and processing referrals and personnel applications.
  • Manages the waitlist for related services including making decisions related to onboarding of new clients.
  • Monitors crisis line during business hours and triages calls as needed.
  • Offers outreach and marketing support including tours and showcasing services for the center to meet operation metrics.
  • Provides mentorship and career development to administrative staff
  • Supplies administrative support to Lead BCBA and BCBAs including approval of timesheets, requests for time off, and expense reports.
  • Responsible for facility cleaning, hygiene, safety and maintenance and for coordinating with facility vendors.
  • Maintains patient and employee privacy in accordance with ESUCP policy.
  • Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.

Meetings: Attends administrative meetings and any other meeting necessary to complete tasks outlined. Meets with supervisor weekly to address challenges and professional growth.

Supervisory Responsibility: Supervise and support other Administrative Assistant(s) on staff.

Position Requirements

YOU’RE A GREAT MATCH FOR OUR TEAM IF YOU HAVE:

  • HS diploma/GED/equivalency from an accredited (USDOE or CHEA) institution, with 2-3 years related experience.
  • Minimum of two years’ experience with Medical billing.
  • At least two years of supervisory experience.
  • Proficient in interpreting Explanation of Benefits (EOB).
  • Strong Knowledge of Microsoft Office Word, Excel and Outlook.
  • Must have reliable transportation that will allow movement throughout the program delivery area.
  • Have a valid North Carolina Driver’s license, good driving record and insurability is required.
  • Possesses excellent oral and written communication skills, including clarity and articulation of thoughts, appropriate grammar, style, form and punctuation.
