BASIC FUNCTION:

Under the direction of, and reporting to the CFO, the Administrative Services Coordinator is responsible for creating a positive experience, being the first point of contact with a customer, potential employee or vendor. In addition, they are responsible for coordinating all administrative functions.

KEY RESPONSIBILITIES:

  1. Coordinate the consistent operation of Glenroy' s front desk. Ensure the telephone switchboard is operating effectively and facilitate communication between Glenroy personnel, customers, and vendors, directing them to the appropriate person.
  2. Coordinate incoming and outgoing mail process.
  3. Manage food service vendor(s) and ensure Glenroy hospitality program is maintained. (Water, Fruit, etc.)
  4. Coordinate customer and employee meeting lunches. (order, and assist with setup)
  5. Maintain welcome board and e-boards, update with customer visits and other information.
  6. Manage the administration of our travel policy and vendor(s). Assist travelers in understanding auto rental insurance, global services, and overall travel policy.
  7. Administer company non-disclosure agreement file and coordinate signing of documents.
  8. Assist in maintaining corporate legal files.
  9. Maintain certificates of liability file and process customer and vendor requests.
  10. Assist Executive Staff and Board of Directors in planning and scheduling meeting locations.
  11. Assist in maintaining corporate board minutes.
  12. Suggest more effective ways of doing things.
  13. Ensure company vehicle is clean and maintained.
  14. Maintain Mother's room(s).
  15. Support company goals and objectives.
  16. Hire, train, and retain admin staff.
  17. Perform other duties as assigned.
 
Position Requirements

KNOWLEDGE, SKILLS AND ABILITIES:

Strong customer service skills with a friendly, outgoing and inviting personality.

Excellent written/verbal communication skills.

Intermediate to Advanced computer skills in Microsoft Office (Outlook, PowerPoint, Visio, Word and Excel).

Ability to demonstrate a professional business manner and helpful attitude.

Excellent organizational skills with an ability to think proactively and prioritize work.

Experience exercising discretion and confidentiality with sensitive company information.


EDUCATION AND EXPERIENCE:

High School diploma or equivalent required. 1-2 years of college course work preferred.

Proven work experience as an executive assistant or administrative assistant required and prior management experience a plus.
