POSITION DESCRIPTION:

The Office & Facilities Coordinator brings The Clearing's space to life as s/he oversees the daily operations of our office. This includes facilities, hospitality, meetings and events, and vendor management. This position is based in Washington, D.C. and reports to The Clearing's Senior Manager of Internal Operations & Facilities. Ideal candidates are passionate about customer service, detail-oriented, have a proactive and creative approach to problem solving, believe no task is too small, and are excited to support a dynamic, growing company.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Facilities

  • Oversee all functions related to The Clearing's office space and equipment to ensure smooth daily operations
  • Coordinate maintenance, repairs, and replacement of property and equipment
  • Support all facilities-related contractor and service provider relationships
  • Liaison with building/property management, as necessary

Office Coordination / Services

  • Daily inspection and walkthrough of office and conference rooms
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies
  • Hands on tasks include maintenance and minor repairs office furniture, hanging pictures, and basic installations
  • Source price quotes for labor, materials, and replacement parts for office maintenance and repair projects
  • Responsible for planned and ad hoc maintenance and the upkeep of the office and equipment including required safety checks; liaise with contractors as required
  • Support office setup for new hires; conduct office tour and team introductions, participate in the onboarding of new hires to educate new staff on office services, particularly how to use AV, schedule conferences, and use TC equipment (Cannons, phones, etc.)
  • Run office related errands and perform miscellaneous job related duties as assigned (ex: catering pick up, mail runs, etc.)
  • Help define and manage a communication plan to share with staff about partnering with the Office & Events Coordinator
  • Create and maintain process steps related to all Office & Events Coordinator duties

Support for Events and Making The Clearing a Destination Space

  • Provide support and strategic thinking to the development of The Clearing's client experience to ensure The Clearing is a client destination consultancy
  • Provide administrative & logistics support to consulting staff to ensure quality delivery to The Clearing's clients
  • Ensure the office, including conference rooms, are cleaned and client ready, daily
  • Setup and/or assist with meetings/trainings/client/team events
  • Assist with the production of client deliverables, to include printing and binding
  • Provide backup support for Executive Assistant/Receptionist, as needed

Office Technology & Tools Support

  • Support IT/ Technology Team with basic AV functions in conference rooms
  • Ensure proper operation of equipment by troubleshooting malfunctions, scheduing repairs, submitting IT helpdesk tickets, etc. as it relates to Cannon copiers, Apple TVs, and phone operations.
  • Observe and track patterns in office operations and update Senior Manager of Internal Operations and Facilities for awareness.
 
Position Requirements

ESSENTIAL REQUIREMENTS & QUALIFICATIONS

  • Bachelor's degree and 2-3 years of experience in an administrative or facilities role is preferred, OR High school diploma and a minimum of 5 years of experience in an administrative or facilities support role
  • Must be able and willing to lift items and move furniture up to 25 pounds
  • Proficiency in MS Office
  • Strong customer service
  • Strong work ethic and positive, proactive, and resourceful approach to problem-solving
  • Ability to perform work with a sense of urgency and exceptional attention to detail
  • Ability to manage and collaborate well with a team and work independently
  • Ability to remain flexible in a fast-paced and ambiguous environment while balancing competing priorities
  • Strong interpersonal and communication skills, an excellent listener who has the ability to work productively and diplomatically
  • Demonstrated ability to meet multiple deadlines by maintaining a high level of organization
  • Excellent judgment and discretion in handling sensitive information
  • Ability and willingness to work occasional early mornings and evenings, as needed
