Job Title: Project Management Associate

Reports to: Administrative Vice President of Planning & Systems

FLSA Status: Non-Exempt

Salary Grade: NE12

Supervisory Responsibility: No

SUMMARY:

Under the direct supervision of the Administrative Vice President of Planning and Systems this position is responsible to provide professional, comprehensive and timely meeting minutes for Planning and System's related meetings. Organize documentation utilizing the Banks groupware and other applications. Organize web meetings and conference calls. Communicate with Project stakeholders to obtain updates and required items for reporting purposes.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by the supervisor and/or Trustco Bank's Board of Directors.

  • Attend meetings as scheduled.
  • Take notes at each meeting session including topics discussed follow-up items and decisions made.
  • Works with members of the Planning and Systems Department to assist in the documentation of internal department changes.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
  • Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Processes incoming mail and email communications.
  • Organizes and prioritizes large volumes of information and calls.
  • Assists with information requests to include reporting.
 
Position Requirements

REQUIRED EDUCATION/EXPERIENCE:

  • High School Diploma or equivalent education or experience.
  • Two years of office/secretarial work experience.
  • Customer service experience.
  • Effective verbal and written communication skills.
  • Well organized with the ability to manage multiple tasks and work to time sensitive deadlines.
  • Ability to work well independently and in groups.
  • Working knowledge with Microsoft Office Programs; Excel and Word.

PREFERRED EDUCATION/EXPERIENCE:

  • An Associate’s degree or higher.

POSITION TYPE/EXPECTED HOURS:

This is a full-time position. Office hours Monday – Friday 8:30am – 5:00pm and some Saturdays. Evening and weekend work may be required as job duties demand.

TRAVEL:

Travel using personal vehicle. Valid driver’s license required.

LANGUAGE SKILLS:

Must be able to speak, read, write, and understand the primary language(s) used in the workplace; bilingual skills a plus. Ability to read, analyze, and interpret general business information, including but not limited to company policies and procedures. Ability to effectively present information and respond to questions from groups of managers and customers.

  • This is largely sedentary role, requiring use of typical office equipment such as a computer, laptop and phone.

  • Heavy typing.
