Position Mission

Under supervision, the Administrative Assistant performs a variety of administrative functions for one or more programs within Energy Finance Solutions

Primary & Essential Responsibilities

1. Routing Correspondence and Facilitating Processes

  • Log incoming loan applications received by mail, fax, email or website and enter applications into database, ensure general completeness of required information, and solicit a credit report.
  • Maintain the EFS department e-mail accounts; receive all other mail and faxes. Sort, match to files, and route, general fax, mail, and electronic correspondence of various priority. Prepare, send and receive daily courier items.
  • Organize and maintain the filing system for paper and electronic file records; assist staff in finding and re-filing records.
  • Prepare files for off-site storage and maintain tracking system for these files.
  • Scan completed files to archives and/or package for investor; purge expired files.

2. Direct Processing Support

  • Prepare and issue loan documents per Loan Specialist instruction to approved applicants and/or their contractors.
  • Assist with pre-funding processes; conduct initial screening of file paperwork to verify the receipt and completeness of necessary documentation; communicate as necessary to obtain missing items; prepare ACH form and/or check to initiate complete pre-funding review
  • Conduct contractor application preparation, review and setup

3. Customer Service Support

  • Provide back-up call center support for staff; answer general consumer and contractor questions regarding EFS programs throughout regular business hours and respond to all customer inquiries within 24 hours.
  • Correspond semi-monthly with Contractors regarding aging files and outstanding conditional requirements.

4. Actively participate as a member of assigned workgroups

5. These responsibilities are not all inclusive and other duties may be assigned from time-to-time.

Qualifications

  • High school diploma or equivalent
  • 1-3 years of work related experience, preferrabley in customer service
  • Preferred experience with fast paced envioronments and a team atmostphere
  • Proficiency in using Microsoft Office Suite
