Under to supervision of the Director of Human Resources this position will assist with all administrative needs of the HR department. The HR Assistant will handle multiple assignments efficiently with a keen attention to detail, and a commitment to follow projects and tasks through to completion. The Assistant will exercise considerable latitude and discretion of action, using good judgment when carrying out assignments which may be sensitive and confidential in nature.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Process new hires: on boarding paperwork and ensure all federal and state employment regulations are in compliance and appropriate forms are completed.
  2. Responsible for accurate data entry into Great Plains (i.e. new hire information, employee benefits, additions and changes in employee status).
  3. Review data input and output reporting for accuracy.
  4. Create and ensure all personnel files are in compliance for all new hire employees and clients. Track personnel files for late paperwork: DMV, Health Care, 1-9 forms.
  5. Reconcile HR department invoicing and special orders. Responsible for reconciliation of billings and accurate accounting and allocation of bill to various departments.
  6. Maintains the HR calendar and schedules all team appointments. Utilizes discretion and independent judgment to calendar all requested appointments including the schedule of the HR Conference Room.
  7. Document scanning and quality assurance in DOMA system; perform scanner setup adjustments; responsible for scanning, indexing and verifying records accurately. Maintains and assures compliance of the Human Resource employee filing systems, paper files as well as electronic files.
  8. Maintaining accurate records including quality assurance, conversions and tracking of documents.
  9. Maintain and display the highest level of integrity and confidentiality in all aspects of human resources.
  10. Orders office supplies for the department.
  11. Coordinates any special projects and develop a system for monitoring the work in progress to identify obstacles and recommend solutions.
  12. Complete employment verification request.
  13. Maintains departmental organizational charts.
  14. Performs other duties as assigned.

  • Strong systems and software skills; expertise in MS suite.

  • Must exercise solid critical thinking and actions.
  • Read, analyze and interpret written information.
  • Communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Ability to perform at established production goals.
  • Ability to gain thorough knowledge of all employment laws and OV policies and procedures to ensure the organization is in compliance with federal, state and local laws.
  • Must express professional and friendly demeanor at all times.
  • Problem solve and draw valid conclusions.
  • Interpret and act on instructions, gain knowledge and take initiative.
  • Must possess social discernment to assess and understand other’s reactions and behaviors.
  • Possess a thorough knowledge of principles and practices of office management.
  • Proven ability to handle sensitive information in a confidential and professional manner and ensure confidentiality is of the highest priority in all aspects of duties performed and all communications, both written and verbal.
  • Ability work with individuals with developmental disabilities.

EDUCATION AND EXPERIENCE

  • Required: Bachelor's Degree or equivalent work experience.
  • Required: Five (5) years verifiable work experience as an administrative assistant or a related function
  • Preferred: Database and electronic filing system experience (DOMA, Great Plains, Time Force experience is a plus).
  • Preferred: Bilingual in English and Spanish
  • Preferred: Knowledge of State and Federal Laws.
