Position Summary:

The Regional Account Manager is responsible for assisting in the development and maintenance of the overall strategy for the Company's Release of Information and Document Imaging departments within their assigned Region or Facility. The Regional Account Manager directs and monitors the activities of the operations teams in their assigned Regions or Facilities. The Regional Account Manager is responsible for the production, quality, service level agreements, and financial health of all processing centers assigned. The Regional Account Manager provides leadership, sets goals, monitors work, and evaluates results to ensure that departmental and organizational objectives and operating requirements are met and are in line with the needs and mission of the organization. The Regional Account Manager will direct and assist the operations teams in the fulfillment of all operational responsibilities while enforcing STAT Imaging Solutions operational processes and company policies.

Essential Functions:

  • Provides oversight to assigned STAT Imaging Solutions Facility and Hospitals
  • Responsible for monitoring, reporting and guiding all operational activities within their assigned facilities and hospitals
  • Works with Operations Executives to maximize efficient operations within assigned areas.
  • Act as liaison between company and client communicating changes with technology, staffing, standard operating procedures (SOP), breeches, and results of quality assurance reviews
  • Coaches and develops the Operational Management Teams within each facility to provide outstanding customer service and to meet all customer service level agreements and requirements of subordinate job descriptions.
  • Proactively directs (including corresponding communications and escalation paths), human resources, STAT Imaging Solutions operational procedures, STAT Imaging Solutions policies, customer policies and procedures (where applicable) and the strategic goals and vision of the company.
  • Ensure proper coverage at facilities and CPC in the instance of vacation or illness.
  • Actively monitors and review their teams' production metrics (quality, productivity, turnaround time) on a weekly basis. Communicates with and guides Operations Supervisors/Team Leads/team members to correct any issues with these metrics, while maintaining a sustainable work atmosphere.
  • Oversight and monitoring of TimeKeeper (TK) payroll system and ensure accurate and timely payroll closes according to the Company's payroll schedule
  • Oversight and monitoring of all Company Purchase Cards in the assigned region. Monthly review and approval processes
  • Works closely with members of the Client's Leadership Team in addressing issues with service level agreements
  • Responsible for ensuring compliance with documented and established workflow guidelines.
  • Responsible for upholding security and confidentiality regulations, and facility policies and procedures for access and review of all medical records.
  • Assists in the development and maintenance of strategy, specific goals, objectives, budgets and performance standards for facilities assigned.
  • Spearheads the identification and implementation of process improvements to decrease costs and improve service as part of Company's expected objectives and goals.
  • Completes and conducts performance reviews for direct reports as well as issues necessary corrective action for subordinates.
  • Ensures safe work practices are being followed.
  • Anticipate customer needs and proactively identify solutions under the direction of the Operations Director.
  • Resolve personnel problems by investigating issues, identifying solutions, and recommending action.
  • Oversee and train/cross-train new and/or existing employees in all areas of the production process.
  • Establish and support a work environment of continuous improvement that supports the company's quality and turnaround time policies and procedures.
  • Ensure all team members adhere to all federal, state and local laws pertaining to patient privacy as well as policies, guidelines, programs, and procedures in the employee handbook.
  • Monitor time and attendance and determine work schedules for production team members to ensure completion of production within established guidelines.
  • Facilitate and participate in periodic team member meetings.
  • Proactively identify solutions to problems and communicate ideas that improve productivity and quality to direct supervisors.
  • Maintains a high level of professionalism and good rapport with clients
  • Maintains productivity, quality and assures customer service standards
  • Informs the Regional Director, of all issues, complaints, incidents, etc. immediately
  • Maintains confidentiality by keeping all information seen and heard in the facility in the strictest confidence
  • Answers and conducts business on the telephone routinely while maintaining excellent customer service skills
  • Reports to work as scheduled and complies with Attendance Policy

Essential Functions Statements: Document Imaging

  • Supervises team members in the production area; to include, but not limited to STATracking, prepping, scanning, and indexing processes to ensure safety, quality and productivity.
  • Ensure the proper maintenance of all scanning equipment and promptly report any issues with production equipment, internet connectivity or facility security to the appropriate individuals.
  • Monitor production and quality control policies and processes and adjust team member schedules as needed to ensure production quality and turnaround time goals are met.
  • Perform other tasks and duties as assigned.

Essential Functions Statement: Release of Information

  • Participates within all aspects of Customer Service. Monitors and maintains the highest standards of Customer Service executed by the STAT ROI Specialists
  • Attends mandatory employee in-service meetings and/or training sessions, if so directed
  • Travel to assigned STAT Release of Information sites to provide training/coverage as needed. Will provide all of the required specified training/coverage at each particular site
  • Expected to frequently use the following equipment: Computers, Keyboard, Scanner, calculator, copy machine, phone (with voice mail), fax machine, and other general office equipment
  • mail through the facility Mail Room, if so directed

Must be willing to take initiative to make prompt, proactive steps towards problem resolution. Proven skills in handling antagonistic situations and providing guidance and feedback to other team members as needed; facilitating completion of a work assignment or to defend a position or idea. Furthermore, must be able to demonstrate ability to create a positive, team-based work environment.

Education and Experience

Education: Bachelor's Degree or Work Equivalent

Experience: 3 years in Medical Records Management

Certifications: RHIA or RHIT Certification Desired
